Position Summary |






This position will report directly to the Property Manager and works closely with our Property Management team. This role will provide vital support for our property management department, ensuring smooth day-to-day operations and exceptional administrative services.



Regular work hours are Monday to Friday 8:00 am to 4:30 pm.




Key Responsibilities |




Assist property management in handling administrative tasks such as drafting correspondence, preparing reports, and maintaining online filing systems. Respond to tenant inquiries, resolve concerns, and provide exceptional customer service. Distribute Welcome and Move Out packages Manage incoming and outgoing calls Greet all visitors to the property management office and assist as required Prepare and order groceries and building supplies for the property management and operations teams Work with security to perform regular access card audits for all tenant access cards Assist in administration of tenant registrations for the Aspen Club and Dog Policy, keeping all spreadsheets up to date Assist in organizing and coordinating tenant and staff appreciation events Aspen App management (assist new tenants, troubleshooting and data management) and monitor and respond to tenant questions via the Aspen App in a timely manner Distribute all upcoming rent step-up notices and changes in monthly rental charges Distribute stacking plans monthly Book meeting rooms and facilitate food services as necessary Manage Conference Centre and tenant lounge facilities, including providing IT support as required Assist the Flex team with the setup and management of Flex spaces on site Monitor and provide support for all property amenities, including tours Update any property management documentation as required including meeting minutes Assist to coordinate security and after-hours access Assist in drafting and issuing notices to tenants Create and maintain tracking spreadsheets as required Assist with the arrangement and coordination of tenant & staff events Prepare expense reports and perform bookkeeping duties as required Filing of documents both electronic Maintain tenant databases and correspondence Maintain tenant files Perform general office duties such as managing supplies, handling mail & packages, and organizing office spaces Maintain professional appearance of the office Participate in community involvement projects Provide support and backup to the Administrator, Property Management as required on a daily basis Assist in special projects and perform other duties as assigned


Qualifications |




Minimum of 2+ years of administrative experience Post-secondary education preferred Strong proficiency in Microsoft Word, Excel and Outlook Proficient in filing protocols (both electronic and hard copy) Strong, effective and professional written and verbal communication skills Ability to exercise confidentiality Ability to allocate one's time effectively, work under pressure and manage tight deadlines Handle multiple demands and adapt to new ideas and constant changes An eye for detail and accuracy Excellent planning, organizational, analytical and problem-solving skills Superior customer service skills Basic IT troubleshooting skills Ability to work cohesively in a team environment and develop and sustain cooperative working relationships with employees, tenants and industry partners Honesty and integrity combined with a high level of initiative and dedication Successful Police Information/Criminal Record Check
