Job Description

Are you a proactive, resourceful, and highly organized professional ready to take on a senior administrative role that goes beyond the day-to-day? We are seeking a dynamic individual to join our Parks and Roads Services (PARS) team. You'll operate with a high degree of independence in a demanding and time-sensitive environment, acting as a key professional liaison for the branch. This role is a vital part of the Branch Manager's office, focusing on comprehensive, senior-level administrative support, organizational coordination, and advancing key employee engagement and morale initiatives. Your expertise will directly influence the efficiency of our leadership and the professional image of the branch to all our community partners.
This Permanent Full-Time Administrative Assistant position within the Parks and Roads branch reports directly to the Branch Manager of Parks and Roads. The position operates in a complex environment and requires a significant degree of creative and original thought to solve problems and drive innovation. Your decisions will have a substantial impact on the Branch, the organization's work environment, and how our external partners and the residents of Edmonton perceive the branch's professionalism. You will be a trusted "go-to" resource, applying your judgment to ensure the office runs smoothly and that the branch is set up for success.
What will you do?

  • Provide resourceful, senior-level administrative support to the Branch Manager, managing their complex calendar, organizing meetings, and preparing all necessary materials
  • Draft, proofread, and edit various support materials, letters, and memoranda on diverse issues with minimal direction, demonstrating strong judgment and creative thought
  • Coordinate key branch initiatives and special projects focused on increasing overall employee engagement, satisfaction, and experience
  • Drive innovation by seeking out and implementing improvements to administrative processes and managing the PARS intranet site
  • Act as a key internal and external contact, serving as a professional and positive liaison between the Branch and various internal/external collaborators
  • Serve as a trusted "go-to" resource for navigating the complexities of Parks and Roads, including assessing and routing a wide variety of inquiries to the correct subject matter expert
  • Oversee and manage all travel and training requests for the entire branch, ensuring all deadlines for reports and correspondence are met
  • Manage and track daily priorities and maintain a detailed, accurate filing system, including capital and operating budget files
  • Act as a professional and trusted liaison for the Branch, using excellent discretion to route routine inquiries from residents and community partners while identifying and escalating exceptionally sensitive or complex matters for the Branch Manager's direct guidance and handling

Qualifications
  • Grade 12 - Highschool Diploma and GED
  • A minimum of four (4) years of progressively responsible and diversified office experience, including direct involvement in projects related to transformative change, parks and roads, and employee experience, along with demonstrated experience supporting branch managers
Assets:
  • Completion of a 2 year college diploma in Business Administration, Arts or equivalent
  • Experience with Google Apps, POSSE, SAP, or SIRE and Arriba
Skills required for success:
  • Demonstrated excellence in customer service, interpersonal, time management, organizational, and communication skills (verbal and written)
  • Proven ability to accurately capture meeting minutes, manage a supervisor's calendar, edit reports, and compose correspondence
  • Proven ability to effectively handle sensitive information with excellent discretion
  • Experience in assessing customer and resident inquiries, followed by assigning them to subject experts and tracking the responses accordingly
  • Proven ability to solve complex problems and create simple, accessible solutions for staff
  • Considerable knowledge of office management principles and procedures
  • A solid understanding of roadway and traffic operating business functions
  • Skilled in creating a safe and supportive environment where colleagues feel comfortable sharing challenges and seeking guidance

  • Note: This position ?may be eligible for a hybrid work arrangement ?with ?the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52
  • The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance
