Job Description


The Administrative Assistant performs a variety of shared administrative support functions for the two teams and the portfolio. These include managing calendars and schedules, completing weekly timesheets, responding to requests for services, coordinating the delivery of team sessions/presentations and preparing travel, processing invoices, monitoring payments, recording expenses, and maintaining files. Other duties include general office administration including photocopying, outsourcing supplies when needed, preparing business documents and spreadsheets, scheduling and coordinating meetings, interviews, and special events, and also receives and distributes mail. The Administrative Assistant is a positive engagement ambassador for Covenant Health. This position will work best for someone who is detail-oriented, exceptionally organized, with excellent communication skills, and can multi-task in a fast-paced environment of supporting two diverse teams. Note: Travel is required, which may include the use of a personal vehicle. A standard driver’s abstract may also be needed for use of corporate vehicles. The position is open to any location in Alberta. On-site, hybrid, or remote arrangements are open for discussion.

Required Qualifications: Grade 12 diploma or recognized equivalent is required. Completion of an Office Administration program from a recognized institution. Minimum of two year’s related administrative experience required. An equivalent combination of education and experience will be considered.
Additional Required Qualifications:
Excellent skills in the use of Microsoft Office Suite (MS Word, Excel, PowerPoint, Outlook) and Internet navigation. Experience using Microsoft Teams, SharePoint, and Adobe Acrobat is an asset. Must be technically savvy with comfort and willingness to learn new software and technologies. Excellent organizational and time management skills with demonstrated ability to prioritize and multitask complex assignments from diverse teams and stakeholders. Excellent interpersonal and communication skills (written and verbal). Ability to work independently using sound judgment to evaluate and prioritize concerns. Exceptional attention to detail with strong proficiency in spelling, punctuation, and grammar required. Must be flexible with an aptitude for being resourceful and adaptable to change. Travel is required, and may include the use of a personal vehicle.
Preferred Qualifications:
Experience in managing budgets, invoicing, and processing expense claims. Kofax software expertise would be an asset. Employee timekeeping experience with Oracle PeopleSoft would be an asset. Knowledge of a hospital/health-care workplace and organizational structure is an asset.
