THE ROLE: As Administrative Assistant, you will provide critical administrative and strategic support to our Central Construction Team. Reporting to the Director, Construction, you will be tasked with using your strong organizational skills, detail orientation, and problem-solving abilities to ensure the smooth running of the team. WHAT YOU WILL DO:

  • Prepare corporate and project invoicing and coding for Accounts Payable, including monthly and quarterly accruals.
  • Accurately process a high volume of invoices in an automated processing environment, consistently adhering to designated timelines.
  • Manage and maintain calendars, correspondence, and presentations for meetings, including room booking, catering, travel etc.
  • Actively manage all department files and records.
  • Represents the Construction department on the Health and Safety and Fire warden committees.
  • Provide other administrative support, participate in projects, and take on other duties as assigned. Take initiative and find new ways to add value and create efficiencies.
WHAT YOU BRING:
  • Minimum of 2 years in an administrative or professional support role, preferably within commercial real estate or a corporate environment.
  • Solid understanding of basic accounting principles with experience processing invoices using OCR technology and AP Automation as an asset.
  • Post-secondary education, preferably in business, accounting, or related field.

  • You are service oriented and care about providing exceptional customer service, with the ability to problem solve and offer solutions.
  • Strong communication skills to effectively communicate and coordinate with external partners, internal teams, and others.
  • Excellent attention to detail and time management skills to coordinate multiple competing priorities and deadlines.
  • You have excellent knowledge of Microsoft Office (Excel, PowerPoint, Word, and Outlook) and would not mind learning new applications (such as JDE and ProCore).
  • A team-player; willing to step in and lend a hand as needed and you identify the opportunities to do so.
