We are seeking a motivated and detail-oriented professional to join our team. This role is ideal for someone who enjoys working with people, values accuracy and organization, and thrives in a professional office environment.
Key Responsibilities
Greet and assist clients, ensuring they feel valued and welcomed
Provide professional service in person, by phone, and via email
Support the Senior Admin and advisory team in daily operations
Prepare and review financial and non-financial documentation
Maintain and update client information in the Client Management System
Contact clients to schedule appointments and confirm details
Prepare paperwork for client signatures (physical and electronic)
Assist clients with tax documentation
Update advisor schedules and calendars
File, organize, and process paperwork
Maintain the professional appearance of the office
Perform other duties as assigned
Skills & Qualifications
Ability to work independently and within a team
Previous customer service or administrative experience
Excellent written and verbal communication skills
Strong attention to detail and accuracy
Organizational and problem-solving skills
Able to manage multiple tasks in a fast-paced environment
Self-motivated with a strong work ethic
Proficiency in MS Word, Excel, and Outlook
Education & Training Requirements
Secondary School Diploma (or equivalent) required
College diploma or university degree is an asset
Mutual Fund Licence (Ontario) - asset
Life Insurance Licence (Ontario) - asset
Financial services or banking experience - asset

Salary: From $20/hour to start
Schedule: Monday to Friday, day shifts (flexible between 9am-5pm)
No weekends or holidays
On-site only (no remote work)
On-site parking available
Occasional coverage required for Senior Admin absences
