Job Description

This position is Monday to Friday, 9:00am to 5:00pm with 35 hour work weeks. This contract is for 8 weeks from June 9, 2025 to August 1, 2025. The hourly wage is $19.20, plus 4% vacation.

Be between the age of 15-30. Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of employment. Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.

Summary:

Working under the supervision of the program supervisor and the service delivery manager, the Canada Summer Jobs administrative assistant will have general responsibility in a support capacity with all frontline client and employer relations units at YES. These duties will include, but are not limited to the following:

Assisting in the resource area, answering the phone, answering emails, greeting clients and handling general reception duties. Conducting reminder phone calls and emails, tracking client appointment attendance, maintaining client tracking sheets. Updating case notes, updating client files, completing and organizing documentation. Assisting clients accessing the resource area, providing orientation and tour. Conducting research, completion of projects designed to enhance client experience, explore ways to promote inclusivity at the agency. Assist with management of databases and files, assist with document scanning, shredding, collating and organizing. Assist with picking up client support items, picking up placement claims, picking up items and materials needed for events in-house. Assist with outreach and promoting awareness of all agency programs, to clients, community partners and employers. Assist with setup and maintenance of virtual reality equipment, including software updates, cleaning and charging. Assist with general cleaning duties, including organization of supply rooms. Reception duties, including answering phones, greeting, and directing walk-in clients. Provide backup to all units as needed, covering breaks and lunches. Assist leadership team with general office duties, completion of unit meeting minutes, research, or other items as needed.

QUALIFICATIONS AND SKILLS REQUIRED:



Strong communication, interpersonal and computer skills. Sensitivity to client issues, ability to appropriately handle confidential information and exhibit tact, respect and professionalism. Openness to learn, embrace new experiences, adapt to change in a dynamic work environment. Ability to prioritize, organize, take initiative and be a self-starter. Ability to work well in a team environment, supporting and maintaining a positive approach. Driver's license and vehicle considered an asset.
