Job Description


Our Banking client in MONTREAL, Quebec is looking to hire an Administrative Assistant for a 5-months contract role with possibility for extension.

What you will be doing\xe2\x80\xa6

  • On-site client & corporate marketing greeting, chaperone & logistics for frequent meetings both onsite & at offsite venues
  • Office management (bills, order supplies, assist with printing order, IT & Voice first line of support)
  • Pick up the trading and sales phone lines, answer prompt connectivity and prompt follow up with the coverage teams.
  • Organize all reservations for travel, car reservations, meals for all analysts marketing, NDRs and conference hosted in Montreal.
  • Assist in preparation of sales marketing material.
  • Expense reports
  • Maintain records of staff vacations, out of office days
  • Schedule corporate and analyst marketing and prepare synopsis on reasons to meet.
  • Assist in logging CRM call reports and CRM database current, maintain and update client contact and prospects list.
  • Prepare CRM analytics reports to help coverage team monitor client activity and derive data-driven insights.
  • Assist in preparation of ESG sales marketing material.
  • Process research access requests and IT access requests (including FactSet, Bloomberg)
  • Maintain the pipeline list of upcoming events current.
  • Assist in client request follow up (forwarding research reports and setting up adhoc analyst calls)
  • Help organize recurring analyst calls.
What you will need to succeed\xe2\x80\xa6

Must Have Skills:
  • 1-4 years\' experience
  • Basic industry and business function knowledge
  • Bilingual - to answer phones & greet French clients.
Nice to have skills:
  • Travel & Expense processing.
  • Client Relationship Management tool use.
