Position Overview

This position is responsible for assisting Labour Relations, LTD and WCB Advocacy Officers. Work performed is complex and requires a high level of responsibility, coordination, organization, and evaluation in order to determine the priorities that will meet the needs of the department and the organization.

Key Responsibilities

Provides administrative assistance to the Labour Relations, LTD and WCB Advocacy Officers.

Processes intake information to open or supplement a file. Deals with regulatory bodies and ensures external deadlines are met. Some financial responsibility, such as billing for specialist appointments/ assessments or reimbursement of costs to the BCNU. Composes authorization letters or correspondence to outside agencies or contacts, and signs on behalf of the Officer. Reads and interprets the outcome of LTD and WCB decision letters in order to determine whether or not it has been denied or allowed and inputs the decision into the appropriate systems. Implements a bring forward system to meet time sensitive deadlines. Responsible for alerting Officer and member of impending dates. Ensures that authorization letters, disclosure statements, medical/legal replies, hearings and timelines are adhered to. Reviews/provides quarterly advocacy reports. Has direct contact with members in crisis and must deal with problems quickly, and with compassion. Ensures information requested is responded to in an expeditious manner. May perform research for cases in databases and online. May be required to perform duties of an administrative assistant in Servicing.

Performs other related duties as assigned.

Qualifications



The successful applicant must have:



A diploma or certificate from a Legal Assistant/Paralegal program or in Applied Business Technology and three years of experience in an office environment or an equivalent combination of education, training, and experience. Knowledge of external bodies such as the WCB, HBT, BCCNM, HEABC and LTD carriers. Knowledge of medical terminology (or prepared to take a medical terminology course). Current knowledge of office methods and procedures. Advanced skills in MS Office programs, UnionWare, and M-Files. Excellent interpersonal skills with demonstrated ability to establish and maintain effective working relationships with members, co-workers, and others. Ability to communicate effectively both verbally and in writing. Exercises discretion and is able to maintain confidentiality for highly sensitive files. Ability to deal with others in a tactful and compassionate manner. Strong organizational and time management skills. Ability to prioritize competing demands and work under pressure in a fast-paced environment. Ability to manage correspondence and research information. Adaptable and flexible along with excellent problem-solving skills. Ability to simultaneously listen and record/transcribe minutes. Accurate proofreading of submissions and briefs. Ability to type a minimum of 65 words per minute.
