The Opportunity:
The Administrative Assistant position is central to the effective functioning of the Economic Development team by providing administrative assistance and superior customer service to support the day-to-day operations of the department. The Administrative Assistant works closely with all team members and the Team Leader to support projects related to the delivery of the department's core services (Tourism, Business Development, Business & Investment Attraction) and provides customer service to other City departments and external customers and stakeholders.
You will be responsible for:

  • Delivering exceptional customer service via telephone, email and face-to-face - responding to customer inquiries and undertaking proactive outreach to customers and stakeholders
  • Leading the department's administrative work - file management (SharePoint), assisting with budget processes, making travel arrangements, coordinating calendars/schedules and managing contact information
  • Collecting, maintaining and managing data, statistics and information - accessing and updating City View database, maintaining tracking sheets and contact lists, creating forms and templates
  • Supporting projects - assisting team members with the execution of projects including conducting research, managing information, coordinating meetings and compiling reports
  • Assisting with the planning and execution of meetings and events
  • Providing administrative assistance with marketing and communications activities - using content management systems to update website content, maintaining newsletter and email distribution lists, ordering promotional items, booking advertising, updating presentations and proof-reading documents
You Bring:
  • Certificate or diploma in Business Administration, Administrative Information Management, Office Administration, or a related field
  • 3-5 years' experience as an administrative assistant
  • APC Certification and or Canadian Certified Administration Professional (CCAP) would be an asset
  • Highly proficient in MS Office Suite with advanced knowledge of Excel and experience with content management systems, SharePoint, Adobe, databases and aptitude to quickly learn new software and platforms
  • Strong attention to detail and a high level of accuracy
  • Exceptional written and verbal communication skills
  • Ability to anticipate the needs of the customer and co-workers and take appropriate action
  • Experience managing data, information and statistics
  • Coordinating and executing meetings and special events
  • Knowledge of Airdrie and its business community
  • Valid Alberta driver's license
  • Exceptional customer service skills and an innate desire to assist others
  • Dependability and initiative-taking, with demonstrated resourcefulness and effective problem-solving skills
  • Ability to quickly realign with shifting priorities and work assignments and meet short timelines
  • Confident and comfortable representing the department and performing outreach activities
  • High degree of confidentiality, professionalism, positivity and enthusiasm
  • A growth mindset with a desire to learn
  • Willing to accommodate a flexible work schedule that could include some occasional evenings and weekends

Additional Information:
This is a full time position (37.5 hours per week).
