Position: Administrative Assistant, Academic - Contract (ON-SITE)



(Mon-Fri, 35 hours/week. This role is fully ON-SITE. Hours are a combination of 7:30am-3:30pm and 9:00am-5:00pm)

POSITION SUMMARY:



The division of Undergraduate Education is looking for a dynamic and collaborative member to join our team! The successful candidate will collaborate and assist the Directors of Education, Years I-III, Director, Curriculum and Faculty Development and the Director of Experiential and Integrated Learning with the administration and organization of the academic program, curriculum and faculty development. They will collaborate with Directors and faculty to prepare and deliver assessments and assist with the scheduling and organization of exam schedules. They will help administer the Learning Management System by providing Quality Assurance, trouble-shooting support for faculty and grade management. They assist the department staff with academic program administration, and work with all other divisions at the college. Provides administrative support for the Executive Assistant to the Dean, Undergraduate and Graduate Education as required.

RESPONSIBILITIES:



Compiles, prepares and administers examinations including deferred and supplemental exams through ExamSoft

Manages all examination schedules including arranging proctoring, distributing materials, preparing randomized seating charts, sign-in sheets and room bookings

Assists with creation and administration of Objective Structured Clinical Exams (OSCE's)

Assists with schedule changes and maintaining the posted student schedule

Generates statistical reports from ExamSoft or Canvas as requested

Uploads marks into Canvas gradebooks and class sites from ExamSoft or other assessment platforms such as TopHat

Provides assistance to students, escalates issues as required

Corresponds with students regarding scheduling changes, etc.

Document management and archival of files for accrediting bodies

Organization, booking and taking minutes at curriculum-related meetings

Performs quality assurance checks of academic course sites, and coordinates Course/Instructor evaluations

Updates and manages room booking and faculty credential tracking sheets

Supports the Directors of Education, Director Curriculum and Faculty Development and the Director of Experiential and Integrated Learning

Perform other duties as required

QUALIFICATIONS:.

2-year College Diploma in a related field

-Skills & Knowledge



A minimum of 2 years relevant and diverse experience in an administrative/coordinator role with exposure to database management, preferably in an educational or health care environment

Proficiency with MS Office applications, including Teams, Outlook, Word, Excel and Power Point

Experience with Learning Management Systems an asset

Experience with evaluation software (e.g.: TopHat, ExamSoft) an asset

Outstanding written and verbal communication skills

Exceptional interpersonal and customer service skills

Able to work as part of a team and independently

Critical and analytical thinker

Willingness to learn, and initiative to figure out solutions

Adaptable to changes in a fast-paced environment requiring flexibility

Organized and detail-oriented - many tasks (scheduling, marks migration, exam preparation) require a high degree of focus
