Position Overview
We are seeking a proactive, highly organized, and reliable Bookkeeper/Administrative Assistant to serve as the first point of contact for our building and its entities. This role requires exceptional interpersonal skills to manage the front desk and administrative functions, alongside the ability to execute fundamental, day-to-day financial record-keeping.
The Assistant will report directly to the General Manager for day-to-day operations and the Bookkeeper for financial tasks, ensuring all administrative, operational, and core bookkeeping tasks are completed accurately and on time.
Key Responsibilities
I. Reception & Office Administration (Primary Focus)
Act as the primary receptionist and welcoming face for the entire Jilani Group building.
Manage the main switchboard, answering and directing all incoming phone calls promptly and professionally.
Greet, direct, and assist all visitors, clients, and tenants
Maintain the organization and professional appearance of the reception area and boardrooms.
Manage and track inventory for office supplies and equipment, processing orders as needed.
Provide comprehensive administrative support, including filing, scanning, document management, and data entry.
II. Bookkeeping & Financial Support
Execute accurate, day-to-day financial data entry across all three entities (Jilani Group Inc., Jilani Place, and Cafe 295).
Process basic Accounts Payable and Accounts Receivable transactions.
Prepare financial documents such as sales invoices, expense reports, and vendor payment documentation.
Record daily sales figures and vendor expenses for Cafe 295.
Support the bookkeeper with preparatory documentation for month-end close and annual reporting.
III. Operational & Lease Support
Maintain and update records pertaining to tenant leases, service charges, and membership agreements (Jilani Place).
Assist the General Manager with tracking key operational tasks and special projects across the building.
Communicate professionally with tenants, suppliers, and service providers to resolve administrative or billing queries.
Qualifications & Requirements
Post-secondary education in Accounting, Bookkeeping, Finance, or Business Administration.
2+ years of experience in a combined role (Bookkeeping, Reception, or Administrative Assistant).
Demonstrated ability to manage a reception desk, including professional phone etiquette and superior customer service.
Strong understanding of fundamental accounting principles (A/P, A/R, Reconciliations).
Proficiency in accounting software (QuickBooks, Sage, or Xero)
Exceptional organizational skills and meticulous attention to detail.
On-site availability Monday-Friday, 9 a.m.-5 p.m.
Compensation & Benefits
Yearly Salary: $50,000.00
Health Insurance: Eligibility for a full insurance package begins after a successful six-month period.
