Job Description

Chevalier Express Canada Inc. is a leading provider of freight forwarding and logistics solutions, offering end-to-end services across air, ocean, and land transportation. With a focus on operational excellence, compliance, and customer service, we support a wide range of global supply chain operations. As part of our ongoing team development, we are seeking a detail-oriented and proactive Administrative and Documentation Specialist to join our operations support team.

Key Responsibilities:



Office Coordination

: Manage daily office operations, including scheduling meetings, maintaining calendars, stationery ordering

Documentation and Filing

: Organize, maintain, and update physical and digital filing systems to ensure accurate and accessible records.

Data Entry and Reporting

: Input and update data in company systems, generate reports, and ensure timely and accurate documentation.

Communication Management

: Handle incoming and outgoing communications, including emails, phone calls, and group correspondence, distributing tasks to team members as needed.

Supply and Inventory Management

: Monitor and order office supplies, ensuring adequate stock while adhering to budget guidelines.

Invoice and Budget Support

: Assist in preparing invoices and billing as recording.

Process Improvement

: Support the development and maintenance of standard operating procedures (SOPs) to enhance office efficiency.

General Administrative Tasks

: Perform ad-hoc duties such as travel arrangements, document proofreading, and coordinating team schedules to support operational needs.

Onboarding materials

: Support onboarding materials and training documents

Qualifications:



Diploma or degree in Logistics, Supply Chain, Business Administration, or related field.
Minimum 2 years of experience in freight forwarding, logistics, or shipping documentation.
Knowledge of shipping documents, Incoterms, customs requirements, and compliance standards.
Strong Microsoft Office skills, especially Excel and Outlook.
Effective verbal and written communication skills.
Ability to manage multiple priorities under time-sensitive conditions.
Proactive, reliable, and collaborative team player.
