We are currently looking for a motivated and organized Administrative and Accounting Assistant to join our team.
Position Overview
As an Administrative and Accounting Assistant, you will play a crucial role in supporting the efficient operation of our office, shop, and financial transactions. You will be responsible for a variety of administrative tasks, accounts receivable, accounts payable, and purchasing functions, ensuring the smooth operation of day-to-day activities.
Key Responsibilities
The position is administrative, providing support to the accounting, sales, and shop managers. Key responsibilities will include but aren't limited to:
Provide general administrative support, including answering phones, managing multiple emails, handling correspondence, and retrieving job files.
Maintain organized and up-to-date filing systems, both electronic and physical.
Generate and issue customer invoices accurately and timely.
Review customer contracts and purchase orders for accuracy.
Monitor accounts receivable aging and follow up on overdue payments.
Investigate and resolve discrepancies or disputes with customers.
Receive, verify, and process supplier/vendor invoices.
Match invoices with purchase orders and receiving reports (3-way match).
Assist in scheduling AP payments and ensure payments are made on time to avoid late fees.
Maintain accurate vendor records and contact details.
Prepare and distribute statements of account to customers as needed.
Maintain proper documentation for audits and internal controls.
Collaborate with sales and customer service teams to address customer/vendor inquiries.
Coordinate with shop manager to understand their purchasing needs and specifications.
Resolve and issued or discrepancies related to orders, deliveries, or invoices.
Assist in the month-end and year-end closing process.
Continuously assess and improve processes to enhance efficiency and cost effectiveness.
Position is Best Suited for Individuals Who:
Has previous experience in administrative support and accounting roles.
Is proficient in accounting software (Sage 300 ACCPAC), Microsoft Suite (Excel, Outlook, etc.)
Has strong organizational and multitasking abilities with a keen attention to detail.
Has excellent communication and interpersonal skills.
Enjoys interacting with people and feels energized by conversations.
Has the ability to prioritize tasks effectively in a fast-paced environment.
Is a team player with a proactive and collaborative approach to work.
