The Administration & Program Assistant reports to the Centre Manager, providing administrative support to the Centre Manager and Program Supervisor within the LCCC organization. This role is critical in supporting efficient operations, facilitating effective communication and assisting with program-related tasks.

Key Responsibilities
Reception/Administrative Responsibilities
Greet and re-direct incoming visitors to the center as appropriate.
Handle incoming communications (calls, emails, correspondence) and respond or redirect as appropriate.
Support special projects and initiatives led by the Centre Manager, Program Supervisor, or senior management team.
Attend the Hamilton Bingo sessions when needed, at minimum two times per month.
Maintain files, records, and documents related to the organization and premises.
Oversee office supplies, equipment, and premises maintenance, and other administrative needs.
Assist with scheduling, meeting coordination, and preparation of program-related materials.
Program Assistant Responsibilities
Assist with preparation of monthly program calendar to be sent to families once approved by the Centre Manager.
Contact for compiling and dispatching generic social media post to the HQ representative responsible for Social Media Postings. Including pictures and draft text.
Support the development and delivery of an expanded program, adapted to different capabilities, limitations, and participant profiles.
Assist in planning participant group community outings
Assist Centre Manager with communicating any issues with families/caregivers in a timely manner as designated
Assist Centre Manager with community outreach and building relationships to increase participant enrollment in the program, including occasionally attending information fairs.
Provide back-up support in day program and/or respite as needed.
Operational Integrity / Governance & Safety
Adherence to policy and procedures.
Possess knowledge of emergency protocol procedures.
Act as a Health and Safety Representative with Senior Health and Safety Representative.
Responsible for spot checking and weekly checking of equipment and reporting any issues to the Centre Manager.
Responsible for ensuring all supplies, including meals and groceries, linens, and washroom supplies, are replenished as needed. Create orders for management approval.
Serve as back-up alarm monitoring contact.
Other duties as required.
Qualifications and Experience
Post-secondary education or relevant experience in administration or program support.
Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple deadlines.
Excellent written and verbal communication skills.
Customer service focused.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with Adobe Creative Suite would be an asset.
Discretion and confidentiality in handling sensitive information.
Ability to work effectively both independently and as part of a team.
Must be comfortable working in an environment with individuals with special needs.
Occasional evening and weekend work may be required to support deadlines.
