The Aboriginal Coalition to End Homelessness Society (ACEH) is seeking an
Administration & Operations Assistant
who will play a vital role in supporting our CEO, Executive Assistant, and leadership team. This position helps ensure the smooth day-to-day functioning of the organization by keeping administrative systems organized, documents up to date, and internal communications flowing.
This is a dynamic and collaborative role ideal for someone who thrives in a fast-paced environment, takes initiative to solve problems before they arise, and enjoys supporting leadership and operational teams with a mix of hands-on and coordination tasks.
About the ACEH
The ACEH is an Indigenous-led non-profit and registered charity that provides culturally supportive housing for First Nations, Inuit, and Metis Peoples experiencing or at risk of homelessness. Grounded in community voices and Indigenous knowledge, our work addresses systemic barriers and promotes healing through cultural supports, harm reduction, and housing initiatives.
Position Overview
This position is responsible for a wide range of administrative duties that support organizational stability and leadership coordination. The successful candidate will assist with document preparation, meeting logistics, internal communications, drafting report and presentations, and digital file management. This role requires someone who is detail-oriented, organized, excels in technology, and is proactive in maintaining up-to-date administrative systems and supporting the CEO's transition plan.

Position Type:
Full-time, 35 hours per week.
Wage Range:
$28 - $30 per hour based on knowledge, skills and relevant experience.
Key Responsibilities
Executive & Director Support
Draft letters, communications, reports, and presentations for the CEO and Directors.
Coordinate internal/external meetings and events (calendar invites, logistics, catering, setup/takedown).
Edit and proofread documents, consolidate meeting notes into policy drafts, and prepare report summaries.
Assist with travel arrangements, agendas, and itineraries.
Support administrative project tasks such as organizing and updating SharePoint sites.
Fundraising & Event Coordination
Monitor Canada Helps and support donor communications.
Assist with planning and hosting fundraising events.
Use Canva to create visually engaging reports and materials.
Administrative & Operations Support
Oversee daily office operations including phone call monitoring, equipment troubleshooting, and liaising with building management.
Act as SharePoint administrator: maintain organized, consistent document naming and archiving practices.
Communicate with vendors and suppliers (e.g., Telus, Shaw, Innov8, JaniKing, Bluebird, Robbins Parking, Superpass) and prepare payment requests.
Monitor and manage the central admin@acehsociety.com inbox.
Track and order office supplies, equipment, warranties, and inventory.
Draft internal memos and enforce office policies and procedures.
Qualifications & Experience
Minimum 2 years of administrative experience (non-profit sector an asset).
Strong writing, editing, and proofreading skills.
Desktop publishing skills are required (Canva).
Proficient with Microsoft Office, SharePoint, and Excel.
Experience with event planning and budget tracking.
Valid Driver's License and access to a reliable vehicle.
Experience working with Indigenous communities or in Indigenous-led spaces is an asset.
