Job Description


Precise ParkLink (West) Ltd. is seeking a Corporate Administration & Executive Assistant to join our dynamic team. In this role, you will be instrumental in ensuring our business operations meet the highest standards of legal, regulatory, and organizational compliance. You will work in a collaborative and inclusive environment, supporting various business units and contributing to the overall success of our company.

Responsibilities:



Draft, review, and manage client contracts, ensuring accuracy and compliance with company policies and legal requirements. Monitor and interpret government regulations, including bylaws, development permits, and relevant legislation, to ensure ongoing compliance across business units. Work on development permit applications for parking lots Lead general business management activities, supporting operational efficiency and strategic objectives. Coordinate license renewals for designated business units, maintaining up-to-date records and documentation. Conduct title searches and maintain accurate property records as required. Advise on legal and labor standards issues, supporting employee relations and ensuring adherence to employment laws. Oversee vendor contract negotiations and renewals, maintaining strong relationships and ensuring service standards are met. Manage WCB claims and reporting for workplace injuries, ensuring compliance with all relevant regulations and timely communication with employees and the WCB. Set up and maintain registration of corporate entities, ensuring all filings and registrations are current and compliant.

Additional Items that you will be involved in



Assist with some payroll processes, collaborating with payroll staff member to ensure accuracy and compliance with labor standards. Perform executive assistant duties, including calendar management, meeting coordination, and confidential correspondence. Support other administrative functions as needed, contributing to a positive and efficient workplace. Administer RFPs and proposals through tender platforms, managing timelines and submission requirements.

Requirements:



Minimum 3 to 5 years of experience in corporate administration, legal support, or a related field. Demonstrated experience in contract management, regulatory compliance, and business administration. Paralegal experience in corporate law is a strong asset. High level of organizational skills, with the ability to manage multiple priorities and deadlines. Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent written and verbal communication skills, with the ability to draft clear correspondence and reports. Strong analytical and problem-solving abilities, with attention to detail and accuracy. Ability to work independently and as part of a team, maintaining professionalism and confidentiality. Experience with RFP/tender platforms and corporate registrations is preferred. Knowledge of payroll processes and labor standards is an asset.
