JOB DESCRIPTION Job Title: Admin/Accounting Clerk Reports to: Admin Coordinator The Admin/Accounting Clerk, under the direction of the Admin Coordinator, is responsible for accounting functions related to payables and receivables. He/she provides administrative and clerical support for functions related to general operations as well as to managers and other employees. The role of Admin/Accounting Clerk is vital in achieving agency goals. Duties and Responsibilities:
1. Perform basic bookkeeping functions as assigned.
2. Perform all necessary procedures required for the complete operation of accounts payable and accounts receivable.
3. Manage weekly supplier payment runs.
4. Obtain necessary approval for invoices and ensure accurate documentation is obtained and electronically filed.
5. Complete bank deposits as needed.
6. Handle customer and supplier inquiries and account collection as required.
7. Complete period-end invoicing in a timely and accurate manner.
8. Compile training allowance for program participants and maintain program participant database and mailing labels.
9. Order and maintain sufficient stock of office supplies.
10. Develop effective working relationships with all staff and program participants to ensure a respectful and positive work environment is achieved.
11. Greet visitors and direct phone calls that are not directed by the automated system.
12. Assist with the operation and maintenance of office machines e.g. photocopier, fax, scanner and computer equipment.
13. Ensure incoming and outgoing mail are handled in a timely manner.
14. Other duties as assigned. Working Conditions:
  • Work environment can be loud with frequent interruptions and distraction
  • Environment may expose workers to extreme heat/cold, paper dust, chemicals, diesel fumes, unusual/strong odors and/or contaminated materials/products; pet rabbits, birds and fish; visiting therapy animals e.g. dogs
  • Schedules may not provide for scheduled breaks
Skills, Effort and Competencies: Must provide a satisfactory Criminal Record Check with Vulnerable Sector Check prior to employment. Education Business or Accounting Certificate/Diploma from a recognized training facility; equivalent training in a related field. Qualifications Proficiency in using Microsoft Office and Quick Books; word processing, spreadsheets, database software.
Understanding of and ability to apply accounting fundamentals. Experience Minimum of 3 years accounting/bookkeeping experience. Communication Skills Excellent oral and written communication skills are essential. Strong recording and data entry skills. Consistent demonstration of dignity and respect when interacting with others. Physical Demands Long periods of sitting at a desk and/or using a computer are required. Mental Demands High level of independent judgement and reasoning ability. Ability to multi-task and establish priorities in a changing environment. Other Demonstrated ability to maintain confidentiality. Ability to work independently as well as part of the team. Strong organization and time management skills. Willingness to participate in and apply relevant training as requested/required by Cosmopolitan Industries Ltd. Job Type: Fixed term contract
Contract length: 18 months Salary: $39,000.00-$43,000.00 per year Benefits:
