Purpose of the Role
The Admin Support Worker provides vital clerical, logistical, and operational support to ensure the smooth functioning of Agency services. This role supports daily office operations including data entry, correspondence, document handling, scheduling, and frontline coordination. It plays a key role in maintaining organizational efficiency and supporting culturally grounded administration practices in Treaty 9 territory.
The Admin Support Worker may be assigned to support specific departments, programs, or service teams, and is expected to be flexible, detail-oriented, and proactive in meeting both administrative and cultural expectations.
Core Responsibilities
1. Administrative Support and Coordination
Provide general clerical support including copying, scanning, filing, and mail processing
Maintain appointment calendars, meeting logistics, and booking coordination for Agency staff
Assist with documentation preparation, formatting, and entry into internal databases
Ensure administrative areas are kept orderly, stocked, and organized in a manner respectful to all users
2. Frontline and Records Support
Act as first point of contact for visitors, callers, and deliveries, providing professional and courteous service
Direct inquiries to appropriate departments and staff
Assist with recordkeeping, archiving, supply requests, and tracking administrative inventory
3. Internal Communication and Confidentiality
Prepare and distribute internal memos, forms, and notices as directed
Maintain confidentiality and proper handling of sensitive information in accordance with agency and legal standards
Support secure data flow and responsible documentation procedures across departments
4. Team and Agency Participation
Participate in administrative meetings, staff gatherings, and cultural engagement activities as required
Support cross-training and coordination with other Admin Support Workers across locations
Contribute to seasonal and Agency-wide responsibilities (e.g., community events, retreats, reports)
Required Qualifications and Experience
Certificate or diploma in Office Administration, Business, Indigenous Studies, or a related field; or equivalent lived/professional experience
Experience in administrative or reception roles, preferably in a community or health/social service organization
Strong organizational, time management, and multitasking skills
Excellent oral and written communication skills
Comfort with Microsoft Office, digital filing, and general office equipment
Equivalency will be considered. Knowledge of First Nations protocols and administrative experience in a culturally grounded agency is an asset.

Valid Ontario Class G Driver's License
Ability to travel occasionally within the region if required
Compliance with all Agency policies, Collective Agreement, and privacy/confidentiality requirements
