About the Opportunity
We're looking for an
organized, people-oriented Admin Coordinator
to keep our clinic running smoothly and ensure every client interaction feels warm, welcoming, and supported.
You'll be the first friendly face clients see and the calm voice on the other end of the line, someone who brings both structure and heart to the day-to-day operations of our office. If you're skilled with JaneApp, comfortable juggling multiple priorities, and enjoy creating a sense of order in a fast-moving environment, we'd love to meet you.
What You'll Do
Welcome and assist clients with professionalism and care.
Respond to phone calls and emails throughout the day, always with a helpful, compassionate tone.
Manage appointment scheduling and ensure the office calendar runs seamlessly
Handle day-to-day administrative tasks like data entry, filing, and maintaining organized records.
Support clients by answering questions and problem-solving in real time.
Keep our reception and meeting rooms tidy and inviting.
Jump in where needed to keep things running efficiently.
Who You Are
Experience using JaneApp (required).
Previous experience in an administrative role (required).
Previous experience in a mental health or healthcare setting (required).
Experience using Notion (preferred).
Strong organizational and multitasking skills, you enjoy keeping all the moving pieces aligned.
Genuine passion for creating a supportive client experience.
A knack for clear communication, professionalism, and empathy.
Comfort using standard office tools and software.
A proactive, team-first mindset, you see what needs to be done and make it happen.
