About the Role
We're seeking a
Finance & Bookkeeping Coordinator
to manage all end-point financial, payroll and accounting operations for PHAS with accuracy and compliance, providing the CEO and Treasurer with reliable financial data and supporting audits, reporting, and grant claims.

About Pleasant Heights After School (PHAS)
Pleasant Heights After School (PHAS) has been a trusted community-based non-profit organization helping Calgary children play, learn, and grow since 1976. Serving over 200 families across 3 locations, PHAS provides high-quality, inclusive before- and after-school care that integrates STEAM (Science, Technology, Engineering, Arts, and Math) learning and the Alberta Flight framework.
Behind our engaging programs is a dedicated administrative team that ensures operational excellence, transparency, and sound financial management to support our mission and community impact.
What You'll Do
Maintain QuickBooks Online for all financial entries: payments, invoices, expenses, reimbursements, and bank transactions.
Prepare monthly payroll data (hours, entitlements, vacation) and submit to Ceridian.
Reconcile credit card statements, mileage claims, and staff reimbursements.
Produce monthly financial reports: budget vs. actual, P&L, balance sheet, and cash flow.
Prepare supporting documents for annual audits and respond to Board Finance Committee requests.
Administer grant, subsidy, and funding claims, ensuring accuracy and deadlines.
Maintain financial integrity and privacy standards across systems (QBO, ATB, Rotessa).
Collaborate with the CEO and Treasurer to strengthen policies and financial efficiency.
Attend and report at monthly Finance Committee meetings.
Skills & Requirements
Diploma or equivalent formal education in accounting, bookkeeping, or finance.
Minimum 2 years of experience with QuickBooks Online and non-profit finance.
Working knowledge of payroll processes and Canadian accounting standards.
Strong analytical and organizational skills with excellent attention to detail.
Discretion and professionalism in handling confidential information.
Ability to work independently, meet reporting timelines, and communicate clearly with leadership.
