The Impact You'll Make
You'll be the first friendly voice clients hear, the steward of every outgoing shipment, and the systems thinker who spots repetitive admin work before it hits our to-do list. As volume rebounds, you'll help design the automations (n8n, Notion, , Claude, Gemini, OpenAI, etc.) that let us scale without adding chaos. With plenty of room to grow into a Client Management, Ops, or Office Manager role.
What You'll Tackle in Your First 6 Months
Client Service & Admin
Front-line phone & email support; draft quotes, orders, and invoices
Keep RentalWorks and Notion data pristine, calendars synced, and the office humming
Track inbound materials, ensure each delivery reaches the right teammate
Liaise between the bookkeeper and staff.
Shipping & Logistics
Build UPS WorldShip labels; prepare customs docs, CARM & CERS filings
Liaise with brokers, freight forwarders, and clients to keep gear moving
Pack, label, and log every outbound order; maintain shipment history for accounting & inventory
Monitor supply-chain news and trade-policy shifts that could affect our parts
Process & Continuous Improvement
Document SOPs as you go and flag friction points for automation
Review vendor invoices, verify charges, and coordinate approvals with accounting
Prototype simple low-code automations that save hours (we'll help you level up as our leadership team is working on very sophisticated AI tools)
Must-Haves
2+ yrs juggling shipping, CSR, admin
or
hospitality tasks in a fast-lane environment
Accuracy obsession, spreadsheets, SKUs, and dollar signs line up every time
Comfortable with cloud tools; keen to tinker with AI/automation platforms
Calm multitasker who thrives when priorities shift minute-to-minute
Eligibility to work on-site in Burnaby, 9 AM - 5 PM, Mon-Fri
Nice-to-Haves
UPS WorldShip, brokerage, or HTS code experience
Notion, , n8n, or ChatGPT applied at work or in a side hustle
Exposure to film/TV production or rental environments
