Job Description

Property Marketing & Vacancy Management



Post advertisements promptly for all vacant properties across multiple platforms (e.g., Facebook, Marketplace, etc.). Ensure listings contain up-to-date photos, rent details, utility information, and contact numbers. Monitor and update advertisements to ensure maximum visibility and occupancy.

Tenant Utility Bill Follow-up



Conduct weekly follow-ups with tenants for utility payments (Hydro, Gas, Water, etc.). Send reminders and escalate unpaid cases after two follow-ups for management review.

Property Inspection & Compliance



Perform weekly on-site visits for all Kelowna properties. Inspect for illegal parking, unauthorized structures, unapproved tenants/pets, and general maintenance. Submit weekly inspection reports with photos and findings to management.

Partnership Development



Research, identify, and build relationships with NGOs and housing agencies (e.g., CMHA, Turning Point, KCR). Maintain an updated NGO Contact Sheet with communication records and potential tenant placement opportunities.

Airbnb Management - Langley House



Manage and update the Airbnb listing with accurate photos, pricing, and availability. Respond promptly to guest inquiries and reviews to maintain high ratings and occupancy.

Contractor Coordination (JV Contracting - Jaskaran)



Monitor progress on all maintenance and renovation projects. Conduct on-site verification and approval prior to final payment releases.

Tenant Complaint Resolution



Respond to tenant complaints within 24 hours. Record actions and resolutions in the Google Complaint Tracker Sheet. Conduct follow-up calls to ensure tenant satisfaction and closure of cases.

Vendor & Cost Optimization



Source and evaluate new vendors to secure cost-effective, reliable services. Maintain a Vendor Sheet with contact details and performance feedback.

Qualifications:



Education & Experience



Diploma or degree in Property Management, Business Administration, Hospitality, or a related field (preferred but not mandatory). Minimum 1-2 years of experience in property management, customer service, real estate administration, or a related operational role. Experience using online listing platforms (Facebook Marketplace, Airbnb, etc.) and managing digital marketing posts. Proficiency in using digital platforms such as Facebook Marketplace, Airbnb, Google Workspace (Sheets, Docs, Drive), and basic CRM tools. Ability to manage and update property listings with accurate photos and information. Strong organizational abilities for scheduling inspections, tracking complaints, and updating documentation. Strong attention to detail for monitoring property conditions, unauthorized activities, and compliance issues. Competence in vendor sourcing, evaluation, and cost comparison. Ability to handle multiple tasks simultaneously, including advertising vacancies, managing utilities, and tracking tenant issues. Excellent written and verbal communication skills for communicating with tenants, contractors, NGOs, and management. Skilled in resolving tenant complaints politely, professionally, and within set timelines. Strong customer service mindset with the ability to de-escalate issues and ensure tenant satisfaction. Sound judgment when escalating unpaid utilities, major complaints, or contractor issues to management. Valid driver's license and reliable transportation for weekly property visits. Ability to work independently with minimal supervision and manage time efficiently. Flexibility to conduct on-site visits and inspections as required.
