Admin Assistant with Bookkeeping and Customer Service skills
to support our daily office operations. This role includes general administrative duties, basic accounting tasks, customer communication, and coordination with our field team, subcontractors, and management. The ideal candidate is organized, proactive, and comfortable managing multiple responsibilities in a fast-paced environment.
Key Responsibilities:
Prepare invoices, adjustment entries, and process vendor payments
Reconcile employee hours and issue payroll cheques
Reconcile monthly bank statements and maintain organized financial records
Perform general office and administrative duties
Collect information and coordinate with Supervisor
Answer phone calls professionally and provide excellent customer service
Communicate with operations, subcontractors, customers, vendors, and ownership
Assist with marketing-related tasks and customer inquiries
Maintain calendars and schedules for Executives and Directors
Monitor work progress and report issues affecting timelines
Assist with planning and schedule development for estimating and proposals
Provide updates or modifications to project schedules
Work closely with Project/Construction Managers on scheduling needs
Understand workflow, construction sequence, and priority tasks
Proven experience in office administration or clerical roles, preferably within a bookkeeping or accounting environment.
Familiarity with QuickBooks accounting software is highly desirable.
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting.
Exceptional typing skills combined with keen attention to detail for accurate data entry and proofreading.
Experience handling multi-line phone systems and demonstrating professional phone etiquette.
Bilingual abilities are a plus to assist diverse client needs; fluency in additional languages can be advantageous.
Previous experience working as a dental receptionist, medical receptionist, or personal assistant is beneficial but not required.
Knowledge of office management practices including calendar management and filing systems is preferred.
Strong customer service orientation with the ability to support clients professionally and courteously at all times.
