Votre futur role:
KRB est actuellement a la recherche d'un(e) adjoint(e) executive a temps plein pour se joindre a son bureau a Montreal. Relevant du President du cabinet, le candidat fournira une assistance administrative au comite executif.
Vos prochains defis:
Gestion extensive/haute volume de calendriers et de dates cles (y compris reunions, rendez-vous personnels, dates d'echeance, activites liees aux clients et rappels)
Coordination des arrangements de voyage, y compris reservation de vols, hotels, locations de voitures et reservations de restaurants
Coordination et gestion des reunions et conferences, y compris la restauration
Mise a jour et maintien des informations de contact precises et des listes de clients
Prise en charge de l'integration des nouveaux clients, y compris la preparation des formulaires d'identification des clients, la redaction des lettres de mission, la coordination de la reception des acomptes et des fonctions et verifications associees
Ouverture de nouveaux dossiers clients conformement aux protocoles et exigences du cabinet
Utilisation et maintien d'un systeme de classement et de recuperation ordonne pour garantir une reference facile aux archives papier ou electroniques historiques
Preparation, edition, mise en forme, impression, numerisation et revision de documents et de correspondances, y compris la relecture et la verification de la clarte, au besoin
Gestion et organisation des appels entrants, des correspondances par e-mail et des fax, reponse aux demandes et questions courantes des clients, gestion autonome des suivis; soutien aux exigences administratives liees au poste
Archivage des dossiers fermes et maintien/stockage des dossiers clients, le cas echeant
Preparation des entrees de temps quotidiennes pour le president selon les normes du cabinet
Saisie et suivi des budgets sur certains dossiers et fourniture de mises a jour budgetaires aux avocats responsables, selon les besoins
Aide a l'examen des factures mensuelles et communication des instructions de facturation au departement comptabilite
Maintien et mise a jour des connaissances professionnelles et techniques en identifiant et participant a des opportunites educatives, et (le cas echeant) partage des connaissances par le biais d'initiatives de formation
Qui recherchons nous?
Un diplome d'etudes professionnelles (DEP) est prefere
Un minimum de three (3) ans d'experience professionnelle pertinente en environnement corporatif
Excellentes competences orales et ecrites en francais et en anglais
Excellente maitrise de la suite Microsoft Office (en particulier Outlook, Word et Excel)
Grande attention aux details
Un(e) autodidacte flexible avec un bon jugement et un niveau eleve de professionnalisme

Your future role:
KRB is currently looking for a full-time Executive Administrative Assistant to join its Montreal office. Reporting to the President of the firm, the candidate will provide administrative assistance to the President and to the Executive Committee as needed.
Your next challenges:
Extensive/high-volume calendar and key dates management (including meetings, personal appointments, due dates, client-related activities and reminders)
Coordination of travel arrangements, including booking flights, hotels, car rental, and restaurant reservations
Coordination and management of meetings and conferences, including catering
Updating and maintaining accurate contact information and clients lists
New client intake, including preparing client identification forms, drafting engagement letters, coordinating receipt of retainers and related functions and verifications
Opening new client matters following firm protocols and requirements
Utilizing and maintaining an orderly filing and retrieval system to ensure ease of reference to historical paper or electronic records
Preparing, editing, formatting, printing, scanning and revising documents and correspondence, including proofreading and verification for clarity, as required
Managing and organizing incoming calls, e-mail correspondence and faxes, responding to routine client inquiries and requests, and independently managing follow-ups; supporting administrative requirements associated with the position
Archive closed files and maintain/store client files as appropriate
Preparing daily time entries for the President according to firm standards
Inputting and monitoring budgets on select files and provide budget updates to responsible attorney(s) as required
Assist in monthly invoice review and communicate billing instructions to Accounting Department
Maintain and update job knowledge and technical skills by identifying and participating in educational opportunities, and (if applicable) sharing knowledge through training initiatives
Who are we looking for?
Vocational Studies Diploma (DEP) is preferred
A minimum of three (3) years of relevant professional experience in a corporate environment
Excellent oral and writing skills in French and English
Excellent knowledge of Microsoft Office Suite (particularly Outlook, Word and Excel)
Great attention to detail
A flexible self-starter with good judgment and a high level of professionalism
Ability to set priorities, manage expectations and work within tight deadlines
Excellent organizational and time-management skills
