The Activities Coordinator, under the guidance of the Executive Director of Village Operations, is responsible for planning, organizing, and implementing engaging programs for residents at Harbour Landing Village. These programs support social, emotional, spiritual, cognitive, and physical well-being. Working within a person-centred model of care, the Activities Coordinator will lead both group and one-on-one activities and support resident participation through creative, inclusive programming.
This role includes administrative responsibilities such as program tracking, volunteer coordination, budget management, and community outreach. The Activities Coordinator contributes to a positive and supportive community culture, prioritizing collaboration, confidentiality, and compassion.
This position requires flexibility with work hours, including availability for evening and weekend programming. Attendance at off-site excursions and coordination of community-based events is required.
2. Responsibilities:
Design and lead daily, weekly, and monthly recreational programs tailored to resident interests and abilities.
Promote active involvement by offering programs that spark interest, connection, and a sense of purpose.
Track resident participation through Yardi Elevate Production and provide participation reports to families upon request.
Host and coordinate special events, outings, and entertainment.
Facilitate monthly Resident Council meetings, document feedback, and ensure follow-up actions.
Create and distribute the monthly activity calendar, newsletter, and daily event postings.
Help residents explore their leisure interests and record it as part of their yearly Health & Wellness check-in.
Oversee volunteer coordination, including scheduling and engagement of community partners and students.
Manage the department budget, monitor expenditures, and ensure cost-effective programming.
Lead the Volunteer Club and support residents in charitable initiatives and community giving.
Coordinate intergenerational activities in partnership with the Childcare Centre & Group Home.
Support residents requiring one-on-one attention, especially those who are socially isolated.
Manage bookings and events in the Gathering Room and other shared program spaces.
Maintain strong partnerships with external programming organizations.
Ensure proper setup, takedown, and cleanliness of all program areas and supplies.
Maintain confidentiality and adhere to all HLV policies and protocols.
Stay current on industry trends, innovations in recreation therapy, and attend relevant training.
Support new residents' welcome/orientation through engaging and inclusive activities.
Assist with planning and organizing our community-wide Social Committee initiatives in collaboration with HR, to promote employee engagement across the Village.
Contribute to emergency preparedness plans as related to programming and off-site events.
Other duties as assigned.
3. Skills, Qualification, & Requirements
:
1-2 years of experience in activity coordination or recreation programming; experience with seniors preferred.
Post-secondary education in Recreation, Leisure Studies, Gerontology, or a related field.
Skilled in planning inclusive, adaptable, and engaging recreational programs.
Strong organizational, communication, and documentation skills.
Comfortable working independently and as part of a cross-functional team.
Demonstrated compassion and ability to engage residents with diverse needs and backgrounds.
Valid provincial driver's license; Class 1 license considered an asset.
Valid Standard First Aid (OH&S) Level C, TLR Certification, and Food Safety.
Proficiency in Microsoft Office (Word, Excel, Outlook, Publisher).
Flexibility to work evenings and weekends based on program needs.
Physically able to assist with program setup, transportation, and resident support.
