Heaton Place is seeking a dynamic, positive, multi-tasking team member to join our community in a dual role as Activities Coordinator and Receptionist. This position is ideal for someone who thrives in a people-focused environment, enjoys planning meaningful programs, and brings strong administrative skills.
What You'll Do
Reception & Administration
Warmly greet residents, visitors, contractors, and callers
Manage daily checklists, contact lists, mail distribution, and resident updates
Maintain first aid supplies and assist with basic resident support during illness or distress
Coordinate van bookings and volunteer drivers
Support the Dietary Department during lunch hours when needed
Manage Lifeline System updates, pendants, keys, and move-in preparations
Assist management with memos, billing information, files, and general coordination
Provide payroll and accounting assistance
Activities & Recreation
Create the monthly Activity Calendar, Newsletter, and Activities Board
Organize programs, entertainers, special events, and outings
Encourage resident engagement and community involvement
Recruit, coordinate, and support volunteers
Manage activity supplies, ensure safe storage, and stay within budget
Manage weekend maintenance call-ins and our emergency contacts tree, as required
We're looking for an individual who:
Has superior oral and written communication skills
Has the ability to prioritize their scheduled workload and assignments
Can demonstrate strong Microsoft Office skills (Word, Excel, Outlook)
Can demonstrate their payroll (Ceridian or similar) and accounting skills (Quickbooks or similar)
Has 10+ years driving experience with a clean ICBC record
Comfortable assisting residents during medical distress (calling paramedics, providing basic comfort measures)
Self-starter with a bubbly, positive attitude and strong problem-solving skills
Able to pivot between tasks independently and work well with a team
First Aid Certification and retirement home experience would be favourable assets
