Nature of the Work & Responsibilities




NATURE OF THE WORK:




The principal and customary work of the employee in this employment class consists in performing a variety of administrative duties in accordance with established methods and procedures.


RESPONSIBILITIES:




Greet students, faculty, and the public efficiently and courteously; Respond to general inquiries for the Registrar's Office; Respond to counter queries and where necessary, direct to appropriate individual; Respond to telephone calls and emails and when necessary, direct them to the appropriate individual; Take messages and forward them to the appropriate individuals; Dispense materials. i.e., application forms, brochures, timetables, etc., in response to general queries; Assist the Admissions office in mailing of admission letters; Sort and distribute mail for the Registrar's Office and respond to specific inquiries, complete forms, etc.; Assist in mailing of transcripts and other department mailings; Participate in the course drop process as well as grade changes; Update records to reflect students' change in coordinates (address, email, phone number, etc.); Ensure the accuracy of the student file in the Clara System when updating a student's record; Process document requests at the counter; Collect necessary monies and verify the accuracy based on fees relating to application and document requests; Issue an assortment of letters for full-time/part-time attendance and status, diploma received, as well as other letters and written requests for students; Assist other members of the department at peak periods as may be required; Perform other related tasks.





Qualifications & Conditions




QUALIFICATIONS:




To have a diploma of vocational studies (DEP) in an appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority.


CONDITIONS:




Advanced oral and written communication skills in English; (testing may be required); Intermediate oral communication skills in French; (testing may be required); Basic Microsoft Word and Excel skills; (testing may be required); Service oriented with good interpersonal skills and ability to handle general enquiries by telephone and in-person; Ability to work as a team player, exercising both judgment and initiative; Demonstrated attention to detail; Ability to learn new software; Knowledge of Adobe, an asset.
