Position: Accounts Receivable & Payable Clerk

Location: Guelph, Ontario

Job Overview


We are seeking a detail-oriented and organized Accounts Receivable& Payable Clerk to join our financial team. The ideal candidate will be responsible for managing incoming payments, maintaining accurate financial records, and ensuring timely processing of accounts. This role requires strong analytical skills, attention to detail, and the ability to communicate effectively with clients and team members. This role is approximately 55% Accounts Receivable, 40% Accounts Payable, and 5% general office support.

Responsibilities



Accounts Receivable (55%)



Generate and issue customer invoices using Spire Accounting Software Reconcile daily deposits (EFT, cheque, credit card) Process credit card payments from customers Monitor aging reports and conduct proactive follow-ups (phone/email) Maintain strong customer relationships to support timely collections Reconcile Canadian and US bank transactions and apply deposits accurately Support accurate receivables reporting and cash flow forecasting Finalize AR entries for month-end close and reporting

Accounts Payable (40%)



Enter and track vendor invoices Government Remits - Taxes, HST, Payroll deductions, WSIB Process payments via cheque, EFT, and wire, ensuring compliance Reconcile vendor statements and maintain accurate records Maintain Cashflow sheets Finalize AP entries during month-end close and Reporting

Administrative & Office Support (5%)



Order office suppliers and maintain filing systems Support internal scheduling and coordination of lunches or events as needed

Accounting Software - Spire Systems



Qualifications



Proven experience in an accounts receivable or similar financial role is preferred. Proficient in Microsoft Excel, including formulas, templates, and reporting Strong data entry skills with a high level of accuracy. Strong understanding of fi nancial compliance and government remittances (HST, source deductions) Proficient in financial services concepts and practices, including account analysis. Strong mathematical skills for accurate calculations and reconciliations. Ability to analyze financial data effectively and make informed decisions. Detail-oriented with strong organizational skills to manage multiple tasks efficiently. Valid driver's license and access to a vehicle (occasional banking/admin errands)
