As we continue to grow, we are seeking a dedicated and detailoriented Accounts Receivable Supervisor to manage the entire accounts receivable function independently. This is a unique opportunity to lead all aspects of the department while contributing to the financial success and smooth operation of the hotel.environment.

As the Accounts Receivable Supervisor, you will be the sole person responsible for overseeing the accounts receivable process in the hotel. You will independently manage guest billing, payments, invoicing, collections, and reporting. This is a hands-on role where you will ensure the accuracy and timeliness of all financial transactions while working closely with other departments to resolve any financial discrepancies.

Responsibilities

:

Independently handle all accounts receivable processes, including creating and sending invoices, applying payments, and processing billing adjustments. Post guest charges, payments, and credits to accounts accurately and on time, ensuring all transactions align with hotel records. Follow up with guests, corporate clients, and travel agents to ensure timely payment of outstanding balances. Review and manage aging reports, taking appropriate action to address overdue balances. Reconcile all accounts receivable and resolve discrepancies between accounts, payments, and guest records. Provide monthly reports on accounts receivable balances, aging, collections, and any bad debt write-offs for management review.

Guest and Client Communication:

Act as the primary point of contact for all billing-related inquiries from guests, clients, and travel agents. Address billing issues, payment inquiries, and disputes, providing prompt resolutions while maintaining a professional relationship with clients. Ensure that all financial interactions are handled with the utmost professionalism, fostering positive relationships with internal and external stakeholders.

Financial Reporting and Reconciliation:

Prepare and submit daily, weekly, and monthly financial reports to senior management, detailing outstanding receivables, payments, and aging balances. Assist in the month-end closing process by reconciling accounts, ensuring the accuracy of financial statements. Maintain proper documentation for all transactions, ensuring compliance with accounting standards and hotel policies.

Operational Efficiency:

Continuously seek ways to improve the efficiency and accuracy of the accounts receivable process. Maintain an organized filing and tracking system for invoices, payments, and correspondence. Monitor hotel systems to ensure that all guest accounts are updated and maintained accurately.

Requirements



Bachelor's degree in Accounting, Finance, or a related field. 2+ years of experience, ideally within the hospitality industry. Strong knowledge of hotel accounting systems (e.g., Synixis Hub, or similar). Proficient in Microsoft Excel and other office software. Excellent organizational and time management skills, with the ability to work independently and meet deadlines. Strong attention to detail and the ability to handle multiple tasks simultaneously. Excellent communication skills, both verbal and written, with the ability to interact with guests, clients, and hotel management professionally. High level of integrity and ability to handle confidential information. Excellent analytical skills with the ability to perform account analysis and reconciliation. Strong math skills for accurate data entry and financial reporting. Exceptional customer service skills with effective phone etiquette for client communications. Ability to work collaboratively within a team while also demonstrating leadership capabilities. Detail-oriented mindset with strong organizational skills to manage multiple tasks efficiently.
