Job Description

Title of Position: Accounting Clerk: Accounts Receivable

Salary: $27.50-$30.00 per hour based on skills and experience

Hours: Permanent F/T Hours - 8:00-4:00 Mon-Fri

Nature and Scope of Work

Accounts Receivable - maintains accounts receivable module.

1. Ensures that the module balances to the accounting package.

2. Post any billings as necessary, i.e.: Taxes, Daycare fees, Housing rents, etc.

3. Produces monthly statements which are given to the Directors responsible for each program (i.e.: Daycare, Housing, etc.). Mail out monthly statements to customers and follow up collections.

4. Ensures that all cash receipts and deposits to the bank are posted to the module as required.

5. Monthly balancing proofs are given to the Finance Director monthly by the 5th business day of the month.

Deposits - Direct

1. Posts INAC, Health Canada, Prov of BC, etc. direct deposits to the bank as statements are received.

2. Deposit & record all payments.

3. Retrieve & post Daycare Subsidy payments & CCOF funding.

Bank Reconciliations

1. Responsible for reconciling all bank accounts held by NIB.

2. All accounts to be reconciled and monthly balancing documents given to the Finance Director by the 15th of each month. Statement information to be pulled off the RBC website after the 1st of each month to accomplish reconciliation by that date.

3. Any entries required other than recurring monthly entries are reviewed with the Finance Director prior to posting.

Recoverable Travel - Chief and Council and staff

1. Monitors travel via travel advances and requests (to be given to incumbent by persons

arranging for travel and advances) to ensure that any reimbursable travel is properly claimed. 2. Monitors claims to ensure receipt.

3. Ensures claims are posted into Accounts Receivable and coded properly.

Filing

1. Ensures that all reports and miscellaneous filing are kept in an orderly and current manner.

2. Files GL entries, etc. from Director of Finance as is necessary.

Aid with Year End preparation and Audit

1. Ensures all GL accounts are current and reconciled.

2. Produces any schedules required for YE Audit file relating to duties of the position.

Other duties as assigned/miscellaneous.

1. From time-to-time other tasks are required of the accounting department. It is necessary that the department function efficiently and as a team. On occasion other tasks may be required of the incumbent that falls outside of the regular duties. It is expected that the incumbent will make every effort to assist with additional tasks as may be required.

2. Incumbent is to ensure that they are up to date and current on the requirements of the other clerical position to be able to assist in coverage for that position as may be necessary.

3. Incumbent is to ensure that any entries required in the accounting package are made as soon as possible to ensure that the ledger is always current, correct and up to date. This is essential for the Finance Director and the Executive Director to monitor cash flow. Accurate and timely financial statements are required to be available to the Directors by the 20th of each month and to do so, entries and balancing must be complete and the general ledger ready for review by the Finance Director by the 15th of each month.

Timeliness of duties is imperative for the Finance Department to run in a cohesive and efficient manner. Deadlines are extremely important to ensure that funds flow uninterrupted into the Band and so that the Directors can manage the affairs of the Band in an efficient way.

Required abilities, knowledge, and skills:

1. Basic knowledge of accounting.

2. Excellent knowledge of accounting software.

3. Excellent knowledge of spreadsheet software.

4. Effective written, oral, and interpersonal skills.

5. Good public relations skills and ability to communicate well and work as a team member.
