Accounts Payable/receivable Clerk

Job Description

This role is responsible for all daily accounting duties, as well as meeting and greeting clients

that may come to the Abbey Platinum Master Built / Panterra office. The position reports primarily on a daily level to the CFO and accepts additional duties assigned from the GM / Ownership. The primary objective of this position is to ensure that care, accuracy and timeliness of duties assigned have been achieved. This role requires a total familiarity with all aspects of generally accepted accounting procedures.

The individual in this role is expected to become knowledgeable of internal policies and procedures with respect to accounts payable, receivable, payroll, human resources and administration relating to building and selling of properties.

RESPONSIBILIES:



1. Receive and post invoices into the payables system

a. Daily posting of bills/invoices to the accounts payable system (Quickbooks)

b. Reconciling vendor statements

c. Job costing

d. Prepare/print cheques

e. Answering any payables inquiries that arise from customers, vendors, trades or Internally

2. Receive and post payments from clients into the accounts receivable system

a. Understand different accounting practices between custom, spec & show home builds

b. Maintain effective and timely communication with other service partners including sales staff, real estate agents & brokers, lawyers, trades, vendors & survey companies

c. Creating invoices to clients

d. Entering invoices to client accounts for change orders

e. Creating legal and construction files, maintaining lot inventory, ordering real property reports, setting up the new home warranty

f. Enter daily laborer timesheets

3. Assist Monthly Payroll

a. Commission entries and checks

b. Administer group health care plan and assign premiums

c. Assist with the set up of new employees

4. Maintain an accurate filing system.

a. Maintain all accounts payable/receivable files & archives

b. Maintain all accounts receivable files

c. Maintain all financial spreadsheets/data files

d. Maintain all safety supplies/certificate spreadsheet

e. Maintain cell phone usage/records

f. Maintain all fleet records including: insurance, registration, UFA, etc.

5. Other administrative & support duties as assigned by the CFO and/or GM / Ownership.

a. Assisting management in compilation of financial data/spreadsheets

b. Cover necessary gaps in reception coverage, including covering phone lines.

WAGE:



The wage provided for the Accounts Receivable/Accounts Payable position is $20 - 25 / hour based on experience. Hours of work are 8:00 am to 5:00 pm, Monday to Friday. The office is closed for lunch between 12:00 pm to 1:00 pm
