Key Responsibilities




Receive, verify, and process incoming invoices for approval and payment and ensure coding aligns with budgets and internal financial policies. Prepare and execute payment runs (EFTs, wires, cheques) in accordance with payment terms and cash flow guidelines. Maintain accurate vendor records and contracts in Accurate's systems (QuickBooks and Autotask), onboard new vendors, and respond promptly to vendor inquiries. Build trust with vendors through timely payments and clear communication. Track and reconcile company credit card transactions and employee expense reports, ensuring receipts and coding are complete. Monitor spending and flag unusual/unauthorized expenses. Maintain product and inventory records in QuickBooks and Quote Manager. Track purchase orders, reconcile physical inventory in collaboration with the Procurement Advisor, and flag discrepancies proactively. Collaborate with the Finance Team to ensure month-end close processes are not delayed by outstanding AP items. Provide support to other admin or accounting team members during busy periods. + Work with Director to monitor cash flow + Monitor aging reports and cash requirements
+ Reconcile payments and expenses with bank transactions on a weekly basis
+ Manage and maintain AP email inbox
Prepare and process bi-weekly payroll in Dayforce, including new hires, salary adjustments, vacation, wellness time, and other deductions or benefits in compliance with Government regulations and company policies. Enter journal entries in QuickBooks for payroll and employer-paid benefits. Collaborate with HR and Admin to coordinate employee onboarding, including access setup and equipment tracking. Ensure proper documentation and account deactivation for offboarding. Process Accounts Payable transactions with accuracy and efficiency Administer payroll in compliance with Government regulations and company policies Prepare and reconcile Accounts Payable reports using Microsoft 365 applications Maintain organized records and support audits as required Collaborate with internal teams to resolve discrepancies and ensure smooth operations



The Qualifications





You'll be a good fit for this role if you have the following traits and qualifications:




Warm, professional demeanor with strong relationship-building skills Highly attentive to detail and proactive in anticipating (business?) needs Proficiency in Microsoft 365 (Outlook, SharePoint, Word, Excel, Teams) Proficiency in QuickBooks online Minimum 2-3 Years experience in an accounts payable and/or payroll position, preferably in a service-oriented environment Knowledge and understanding of payroll regulations, remittances, and reconciliation processes Familiarity with Dayforce and Autotask is considered an asset Valid driver's license



Educational Requirements






Diploma or Degree in Accounting, Finance, Business Administration, or a related field Additional certifications such as Payroll Compliance Practitioner (PCP) or Certified Payroll Manager (CPM) are considered a strong asset
