Accounts Payable Manager;

The Accounts Payable Manager is responsible for overseeing the dealership's entire account payable function. This includes ensuring timely, accurate processing of vendor invoices, expense reimbursements, parts & equipment purchases, and vendor payments. The role ensures strong internal control, compliance, cost efficiency, and close coordination with operations (service, parts, rentals) so that job costs are properly accrued and equipment/supplies acquisitions are well documented.

This role is on site, and the successful candidate can work in either the Surrey or Abbotsford office.



Key Responsibilities



Invoice & Payment Processing

Oversee processing of all vendor, supplier, and subcontractor invoices. Ensure correct GL / cost center / job cost coding especially for parts, service, rental, and construction equipment. Manage payment runs (weekly, bi-weekly or as per dealership policy), including checks, ACH, wire transfers.

Vendor & Supplier Management

Maintain vendor master files: contracts & required documentation are up to date. Reconcile vendor statements, resolve discrepancies, handle vendor disputes. Negotiate payment terms / discounts with suppliers, when feasible.

Job Costing & Inventory Coordination

Work closely with Parts, Service, and Rental departments to ensure purchases are properly charged to jobs and inventory. Ensure receipts, work orders, delivery tickets, etc., are matched to invoices. Monitor accruals and ensure accurate cost accounting for construction and equipment maintenance jobs.

Month-End / Year-End Close

Prepare AP accruals, reconciliations, and ensure all liabilities are properly recorded. Assist with audit support for external & internal auditors.

Process Improvement & Compliance

Develop, document and maintain policies & procedures for the AP department. Implement controls to prevent duplicate payments, fraud, or missed discounts. Drive efficiency (automation, vendor portal, invoice scanning, etc.).

Team Leadership & Oversight

Supervise AP clerks / specialists. Assign tasks, review work, ensure productivity. Provide training, mentoring, performance evaluations.

Reporting & Analysis

Generate recurring AP reports: vendor aging, cash flow needs, outstanding liabilities, payment status. Provide insights to senior management on trends, issues, & opportunities to optimize cash flow.

Qualifications & Skills



Bachelor's degree in accounting, Finance or related field (or equivalent experience). Typically, 5+ years in accounts payable or related accounting roles; at least 2-3 years in a leadership / supervisory capacity. Experience in construction, agricultural equipment dealership, heavy equipment, or related fields is preferred. Proficiency with accounting / ERP systems. Knowledge of systems used in equipment dealerships (inventory, job costing, service orders) is desirable. Strong understanding of cost accounting and ability to align AP with job costs, parts inventory, service orders. Excellent attention to detail, strong organizational and analytical skills. Solid communication skills, ability to deal with vendors, internal stakeholders (parts, service, operations). Ability to meet deadlines, juggle multiple priorities in a fast-paced environment.

Working Conditions



On-site work in dealership environment. May require visits to parts warehouse, service bays, etc. Some extended hours around month-end/year-end closing
