We are seeking a detail-oriented and organized Accounts Payable Coordinator to join our finance team. The ideal candidate will be responsible for managing the accounts payable process, ensuring timely and accurate processing of invoices, and maintaining vendor relationships. This role requires proficiency in various accounting software and a strong understanding of accounts payable functions.
Key Responsibilities:
Accounts Payable:
Process and record all vendor invoices, ensuring timely and accurate payments
Verify purchases against purchase orders and receiving documents
Reconcile vendor statements and resolve discrepancies
Track due dates, early payment discounts, and manage payment schedules
Support month-end close by preparing AP reports and reconciling accounts
Maintain organized digital and physical records of invoices and payment history
Inventory Management:
Track inventory levels for finished goods, raw materials, packaging, and tasting room merchandise
Maintain up-to-date inventory records in winery management software
Coordinate with production, cellar, and warehouse teams to ensure accurate data entry and stock movement records
Conduct regular cycle counts and assist with monthly physical inventory counts
Investigate and reconcile inventory variances
Assist in preparing inventory reports to support purchasing and forecasting decisions
Compliance & Reporting:
File monthly government compliance reports (e.g., BC liquor distribution, Alberta Sales, Canada Excise Tax) accurately and on time
Maintain accurate records for audits and regulatory inspections
Coordinate with management to ensure all reporting deadlines are met
Qualifications:
2-5 years of experience in accounts payable, inventory control, or winery operations
Strong understanding of accounting procedures and inventory tracking principles
Familiarity with winery or beverage industry operations is highly preferred
Proficient in accounting and inventory software.
Proficient in Microsoft Excel and Word; strong spreadsheet and documentation skills required
Excellent attention to detail, organizational skills, and follow-through
Ability to communicate clearly and work collaboratively with production, admin, and management teams
Comfortable in a dynamic environment where multitasking is essential
