As a facility, Science World is generally open to the public seven days a week, with some extended evening hours in the summer months. Typical office hours are Monday to Friday 8:00am - 5:30pm, with front-facing and operational teams also working a variety of shifts including weekends, holidays and evenings. Hours of work and other related requirements will be scheduled according to business needs and this may include special events on evenings, weekends and holidays.
Position Description:
We are looking for a team player with strong organizational and problem-solving skills, who is detail-oriented and has the ability to multi-task and meet deadlines. Under the direction of the Controller, the Accounts Payable Coordinator will maintain the organization's accounts payables and perform other accounting functions as may be assigned.
Key Responsibilities:
Accounts Payable
Full cycle accounts payable, processing purchase orders, invoices, cheque requests, expense reports through an automated end-to-end paperless AP system (Beanworks)
Maintain Beanworks system (user set-up, training, etc.) and vendor files
Verify coding, invoice data entry, proper authorizations
Reconcile transactions, prepare monthly reporting, GL journal entries and accruals for period-end close
Prepare and process electronic transfers and payments on a timely basis
Reconcile credit cards and payments by scheduled processing deadlines
Complete reconciliations between Beanworks and Sage 300, as well as Sage 300 subledger to general ledger
Analyze accounts and create ad hoc reports, monitor accounts and correspond with vendors
Review and analyze accounts payable aging, ensure accounts are up to date and accurate, apply credits, clear past due balances, reconcile vendor statements to accounts
Communicate with vendors and staff. Resolve inquiries and discrepancies and ensure balances are accurate
Maintain accurate, organized financial records and historical documentation
Provide support for the annual financial statement audit
Other
Maintain petty cash
Prepare royalty reports to support license payments
Prepare PST, GST, withholding tax remittance reports and year-end T4A slips
Provide support for Accounts Receivable
Operate within the philosophy, culture and values of Science World
Perform other related duties as required to fulfill any changing business needs of this role
Qualifications:
Post-secondary education in Business, Commerce, Accounting or a related discipline
4 years recent accounts payable or general accounting experience in a high volume environment
Proficiency in MS Office Suite, with good understanding of Excel, experience with Sage 300, Beanworks is preferred
Knowledge of PST, GST and withholding taxes is preferred
Excellent analytical abilities with exceptional verbal and written communication skills
Strong ability to multi-task and deliver results within defined deadlines.
Strong attention to detail
This is a unionized position represented by CUPE 1004. The compensation rate is $30.59/hour.
