Overview:
Reporting to the Senior Job Cost Accountant, the Accounts Payable Coordinator will be responsible for accounts payable function for the Calgary Construction Segment. Regularly liaises with operations, estimating, and accounting teams to maintain and build an efficient system ensuring timely and accurate processing of information. Develop strong relationships to ensure prompt resolution of any queries and avoid disruption of services. Responsibilities:

  • Create purchase requisitions for Vendors & Subcontractors as required
  • Enter timesheets for hourly service providers
  • Provide upload data for job costing
  • Prepare monthly payments and holdback releases for hourly providers
  • Coordinate with ABS any special requests or master file changes
  • Review coding and approvals when entering receipts
  • Regularly review receipts not vouchered and invoice processing errors in SAP
  • Reconcile vendor statements to ensure completeness of processing and resolve any discrepancies
  • Ensure terms of subcontract agreements are adhered too including but not limited to insurance, WCB and safety documents and payment obligations.
  • Act as proxy entering Pcard receipts reviewing for coding accuracy and following up on any delinquent submissions.
  • Run and maintain reports as required
  • Strengthen relationships with existing and new vendors, respond promptly to requests
  • Open and close equipment work orders as required
  • Work closely with shop mechanics and equipment coordinators for effective reporting of repair costs
  • Monitor and reconcile bulk fuel balances
  • Support for fuel cards
  • Work closely with the field operations and accounting team to understand requirements and deadlines
  • Ensure that all deadlines and KPI’s are achieved
  • Administer critical documents and ensure company is good standing with all licenses, subscriptions and service agreements.
  • Other duties as assigned
  • Ensure all safety requirements of the operations are met, and promote Lafarge's safety culture
Results / Accountabilities:
  • Accountable for accurate and timely entry of data in order to support operations
  • Ensure timely and accurate processing of transactional data and reports
  • Safe work environment meeting or exceeding annual targets
  • Maintains close relationship with internal and external stakeholders
  • Adherence to all internal control requirements
  • Communicates/coordinates any changes to processes to stakeholders
  • Identifies and shares recommendations for improvements
  • Meets and seeks to exceed department Key Performance Indicators (KPIs).
Dimensions / Relationships with Others’ Jobs:
  • Interfaces closely with the operations management, estimating and accounting teams
  • Works closely with finance functional team.
  • Directly reports to Senior Job Cost Accountant
Qualifications: Education and Work Experience:
  • Post-secondary diploma or degree in accounting. Equivalent combination of education and work experience may be considered.
  • Minimum 3 years of experience in medium to large organization.
Knowledge and Skills:
  • Sound working knowledge in Microsoft Office including Word, Excel and Access
  • Knowledge of construction environment would be beneficial
  • Experience with SAP would be considered an asset
  • Strong team player with a positive attitude and self-starter
  • Effective written and oral communication skills
  • Strong math skills
  • Able to multi-task effectively and work in fast pace environment
  • High level of time management and prioritization skills
  • Strong time management skills essential
  • Independent thinker
