Target Start Date: 07/02/2024Located in Toronto, the Art Gallery of Ontario is one of the largest art museums in North America, attracting approximately one million visitors annually. The AGO Collection of more than 120,000 works of art ranges from cutting-edge contemporary art to significant works by Indigenous and Canadian artists and European masterpieces.We are currently seeking an Accounts Payable Coordinator to join our Finance team. Under the direction of the Director, Financial Services, the incumbent performs accounts payable functions for all funds (Operating, Capital, Acquisition, Food and Beverage and other funds). Working closely with Senior Accounts Payable Coordinator, Accounts Payable Coordinator will ensure the accurate and timely payment of invoices ensuring the financial records are organized and maintained properly.What is this position responsible for?

  • Responsible for invoice entry for all funds with continuous attention to detail, checks for appropriate approval, completeness, accuracy, and validity of account codes. Prioritizes heavy workload using sound judgment. Investigates variances and, using judgment, takes corrective actions if necessary. Reviews payment requests, ensuring compliance with the AGO\'s Policy and Procedures. Updates accounting system for any new vendors. Ensures accounting system has accurate vendor information. Analyzes vendor\'s statement of accounts and reconciles; follows up on discrepancies directly with external vendors and internal departments regarding billing problems and responding to vendors\' enquiries in a timely manner. Receives incoming invoices and distributes to appropriate departments for approval.
  • Processes cheques payments for all funds other than Operating, Acquisition and capital funds. Verifies accuracy of payments and prepares for signature. Responsible for distribution (employee\'s cheques) and mailing of cheques for all funds. Ensures compliance with vendor\'s payment terms while being responsible for AGO\'s cash flow.
  • Processes phone bill and related A/R, Petty cash, corporate credit cards and expense reimbursement and travel reports under the direction of Senior Accounts Payable Coordinator in compliance with Gallery related HST rules for all funds. Scrutinizes expenses with continuous attention to detail against the BPS Directive and AGO\'s Travel, Meals, and Hospitality Policy in order to ensure compliance. Challenges all discrepancies and takes corrective action through revising the submission.
  • Responsible for annual filing of T4A-NR tax slips. Identify the T4A-NR related payments and maintain the spreadsheet with relevant information to be filled out in the T4A-NR slips throughout the year. Assist Senior Accounts Payable Coordinator in preparation of T4A tax slips.
  • Maintains accounts payable files for all funds including archiving when necessary. Performs other duties and projects as assigned.
