Position Overview
Reporting directly to the Controller, the Accounts Payable Clerk is responsible for the full-cycle accounts payable process and providing administrative support to the office.
This position operates on a year-round full-time schedule, with a busy season from May to September that may require occasional overtime, and a slower season from October to April with regular business hours.
Key Responsibilities
Perform full-cycle Accounts Payable including invoice entry, coding, and payment processing
Manage project costing and related documentation
Complete credit card reconciliations, expense tracking, and payment verification
Maintain vendor files, ensuring accuracy and timely payment of invoices
Support month-end closing activities and financial reporting
Assist with administrative tasks, including:
Reception coverage (phone, email, front desk support)
Management of employee technology (Telus accounts, cell phones, MiFi devices, hotspots) including seasonal activations, deactivations, and hibernation mode
General office support as needed
Qualifications & Experience
Diploma or degree in Accounting, Business Management, or a related discipline (recent graduates encouraged to apply)
Equivalent combinations of experience and education will be considered.
Proficiency in QuickBooks, Excel (spreadsheet functions), and the Microsoft Office Suite, strong technical skills are a must, and accounting software use are a must.
Strong data entry accuracy and attention to detail, speed and proficiency are paramount
Experience with project costing and field ticket systems is an asset
Knowledge of credit card reconciliation and vendor management
Ability to work both independently and collaboratively within a small office environment, with excellent oral and written communication skills
Effective time management including scheduling and prioritizing duties to ensure deadlines are met
Work Schedule
Monday to Friday, 8:30 a.m. to 5:00 p.m. Schedule flexibility may be available to meet employee needs providing business need are met and full-time equivalent hours are worked
Includes one 30-minute unpaid meal break and two 15-minute paid breaks
Peak season (May-September): Overtime may be required
Off-season (October-April): Regular business hours
