Key Responsibilities
Accounts Payable
Primary contact with vendors
Setting up vendor accounts & keeping them up to date with contact & banking information
Print all new invoices/credits/statements
Review vendor statements for missed invoices
Process invoices without a PO
Match invoices that have a PO, then enter into the system
Legal invoices, employee expenses & credit card transactions
Weekly payment run report
Complete payment run through the bank & Bluelink
Provide payment remittances to each vendor
End of the month general ledger reconciliations
Admin Assistant
Answering the door for visitors and directing them where to go/letting personnel know they are here
Answering the phone and directing the call or the customer on how to proceed with questions
Making sure office/kitchen is up to date with stock
Helping the admin team with tasks
Helping staff with questions and needs
Helping the cleaners with questions or needs
Back Up Duties
- fill in when primary person is unavailable
Coverage for Order Entry
Processing customer purchase orders
Provide support to internal sales person & customers
Provide paperwork to shipping when order is ready
Processing the invoices & sending them to the customer
Assistant to Controller
Assist with monthly, quarterly and annual closings
Ensure timely bank payments
Monthly bank reconciliations in multiple currencies
Accounts payable and receivable tasks
Develop accounting report spreadsheet
Qualifications
The ideal candidate will have a minimum of 2 years experience in an accounts payable capacity or a relevant certificate in bookkeeping or accounting
Intermediate computer skills in accounting software, Microsoft Excel & Word
Strong analytical skills with attention to detail
Strong ability to multi-task and a "can do" attitude
Ability to work well independently as well as under supervision
Excellent verbal and written communication skills
Excellent interpersonal and organizational skills
A quick-learner with the ability to perform in a fast-paced environment
Position Details
Full time; Days; Monday to Friday; on-site at Halton Hills facility; Wage: $25/hour
