- Admin/Accounts Associate

As an Admin/Accounts Associate you will work primarily on the day to day accounting operations of the company and assisting the owners and staff as needed in various areas. While reporting to the owners and operations manager, you will also interface directly with clients and our external accountants to ensure ongoing compliance and appropriate policy and system implementation and development.

Your KPI's will be primarily focused on effective accounting process management, however, you will also be required to help improve the systems and processes used in the day to day operations to ensure they are adequate to handle our growing and changing needs.

Accounting Duties

End to end accounting functions carried out using QuickBooks Online Invoicing duties - Daily actioning and processing of all invoice requests and payment processing in merchant system Client reporting management - create and distribute invoice reports for all clients as needed Internal daily financial reporting duties - Compile and report daily, weekly and monthly totals Respond to client accounting enquiries and resolve as needed Payroll - biweekly payroll submission and payment Cash flow management - ensuring all vendors, payroll and credit cards are paid on time Reconcile/Match Invoices with COGS: Twice weekly reconciliation of invoices with Cost of Goods Sold (COGS) for air tickets, cars, and hotels Investigate Unmatched Charges: Identify and investigate charges that do not have corresponding invoices for matching purposes Expense Coding: Code expenses to the appropriate accounts on a weekly basis Bank and Credit Card Reconciliation: Perform monthly reconciliation of bank and credit card statements for all corporate accounts. Commission Payment Allocation: Ensure accurate assignment of commission payments to the respective travel agents Maintain clean accounting records of current clients in QuickBooks Online Effectively manage the petty cash and debit card which you will be responsible for Previous experience with QuickBooks Online a requirement

Administrative Requirements

Accrue and manage monthly client rewards accounts Office supply management - compile and order office supplies as needed Provide ongoing support and assistance to the Operations team, including and not limited to; general client support, database maintenance, data entry Mail handling - Check corporate mail box and distribute as needed General office coordination and oversight, including but not limited to, social planning and execution and aiding general office efficiency

Team Requirements

Attend company meetings and events when arranged with appropriate notice which may fall outside normal office hours Assist owners and management with tasks to aid both company and executive productivity as needed Provide assistance to clients of other team members' when asked by management Assist management in planning and executing team events and activities
