Job Description

Responsibilities



Project Accounting

Receive invoice and payments from the CFGA Executive, contractors, vendors and code by project

Provide copies of invoices and payments for CFGA Executive Director to approve for further processing

Code and input invoice and payment details by project category as directed by the CFGA Executive Director

Support CFGA Executive Director, contractors and vendors with inquiries relating to claims, vendors, contractors or finances

Support CFGA with claims, invoice tracking, cheque runs, Smart Banking payments and audits

Support CFGA Financial Manager as required with financial updates

Assist with project claims as required.

Cash Management

Prepare online accounts payable payments for approval by the CFGA Board Chair and Executive Director Assist CFGA Financial Manager with monthly bank reconciliations and make any necessary corrections Ensuring deposits are received and tracked in accounting system
Invoicing

Prepare, receive, and track all incoming and outgoing invoicing

Project Claims Processing

Receive and assess English and French project claims from producers across Canada to be processed and approved for payment

Communicate with producers ensure all receipts and documentation is supplied as needed for project claims and assist with any questions

Communicate and attend meetings with the Project Manager regarding project budgets, contract changes or amendments

Administration

Answer and direct phone calls

Maintain contact lists

Assist in the preparation of regularly scheduled reports

Maintain the filing system

Submit and reconcile expense reports

Handle multiple projects

Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

Contribute to team effort by accomplishing related results as needed

Handle sensitive information in a confidential manner

Provide polite and professional communication

Qualifications



Must be Bilingual French/English able to converse with agricultural producers in their language of preference as well as read/write French and English

Office Administration experience

Accounting knowledge and experience

Excellent time management and organizational skills

Proficiency in MS Office (Excel, Word, Power Point)

Experience using SAGE &/or XERO accounting software would be an asset

Experience in the livestock agricultural field would be an asset
