Our client, Leo's Sales & Service Ltd., is looking for an organized and detail-oriented Accounting & Office Administrator to join their team! You'll play a key role in keeping daily operations running smoothly, from managing accounts receivable and payroll support to coordinating travel and handling office needs. The Accounting & Office Administrator will:

  • Process end-of-day account receivable batches and balance transactions.
  • Follow up on past-due accounts and maintain consistent communication with clients.
  • Review and verify employee timecards and submit biweekly payroll through ADP.
  • Update and maintain monthly commission.
  • Process payroll deductions and ensure accurate data entry for each pay period.
  • Answer phones and provide reception coverage when needed.
  • Review daily tender emails and flag potential bid opportunities.
  • Order branded apparel and office supplies as required.
  • Arrange travel and accommodations for staff as needed.
  • Support leadership with administrative tasks and special projects as assigned.
  • Maintain office equipment and ensure it is functioning properly (copiers, printers, fax machines).
  • Implement and maintain filing systems.
  • Schedule meetings and coordinate calendars for the team.
  • Manage incoming and outgoing mail and courier shipments.
You and Your Experience:
  • 2+ years of administrative or office coordination experience.
  • 2+ years of experience in accounts receivable or related finance roles.
  • Experience with payroll processing, including biweekly submissions and deductions, is an asset.
  • Strong organizational skills with a high attention to detail.
  • Comfortable working with numbers and managing spreadsheets.
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office.
  • Experience with ADP, Keystone, or AS400 systems is considered an asset.
  • Must have a valid driver's license and reliable transportation (no bus route access).
