Job Title: Accounting Coordinator



Location: Victoria, BC (Hybrid Work Option Available)



Hours: Part-time, up to 28 hours per week (Flexible Schedule)



Salary: $29.20 per hour (Effective March 22, 2025) - Unionized Position, CUPE Local 410, Pay Grade 5

About the Role:



The Accounting Coordinator supports day-to-day accounting, payroll, and benefits administration under the oversight of the Director of Finance & Administration. This role plays a vital part in ensuring accurate financial operations, smooth payroll processing, and timely benefit administration, while also assisting with financial reporting and general office support.

Key Responsibilities:



Accounts Payable

: Maintain vendor records in SAGE; process bi-weekly payments (cheques, EFTs, online); prepare audit documentation; manage artist payouts for consignment sales and rentals; maintain electronic and paper filing systems.

Payroll & Benefits

: Process salaried and hourly payrolls; track vacation and lieu time; administer benefits (Empire Life, MPP); prepare remittances (union dues, WCB, etc.); complete year-end T4s, ROEs, and reconciliations.

Banking

: Reconcile daily sales, deposits, credit card receipts, and Shopify transactions; prepare weekly deposits.

Month-End Close

: Complete reconciliations (donations, membership, bank accounts, receivables, payables, inventory adjustments, associates payable); support monthly financial statements.

Accounts Receivable

: Manage customer records, prepare invoices, reconcile AR sub-ledgers, and maintain records.

Financial Reporting & Audit Support

: Assist with budget input, event reporting, and preparation of audit documentation.

Administration

: Maintain and track charitable tax receipts; respond to receipt inquiries; support donor services as needed.

What We're Looking For:



Certificate or diploma in accounting, bookkeeping, or payroll administration preferred; equivalent experience considered.

2-3 years' experience with accounting software (SAGE preferred) and payroll processing.

Strong organizational, analytical, and problem-solving skills with attention to detail.

Proficiency in Microsoft Office (Excel, Word).

Ability to manage multiple priorities, meet deadlines, and work under pressure.

Strong interpersonal and communication skills; discretion and respect for confidentiality.

Not-for-profit accounting experience considered an asset.
