Job Description


Reporting to the Controller, and under the direction of the Senior Accountant, Financial Reporting, the Accounting & Contracts Clerk will be responsible for administering all accounts related to Sales Conveyancing. The Accounting & Contracts Clerk will be a resourceful problem solver who will monitor sales transactions from the beginning to the end. All duties must be carried out in compliance with company policies and procedures and with a focus on customer service.

What you\xe2\x80\x99ll be doing

  • Reviewing customer sales documents to ensure all necessary documentation is complete
  • Liaise with Area Sales Managers and Lawyers to facilitate and ensure accuracy on sales contracts
  • Track sales type (Firm/Spec/Upgrade) and create/maintain sales reporting files for management review
  • Updating and maintaining sales database for sales, customer deposits, upgrades, land transfers, GST rebates and funds received from lawyers
  • Managing customer files for sales units for all companies/projects (copying/filing/confidential storage)
  • Administering all legal documents associated with sales contracts (land titles, transfers, addendums etc.)
  • Reconciling and tracking all funds received from the lawyer and obtain all necessary President/designee approval
  • Prepare Final Sales Summaries (Invoices) provided for distribution to clients, sales department, and lawyers
  • Responsible for sending out company-wide weekly sales and individual firm sales update
  • Liaise with Resident\xe2\x80\x99s Association and reconcile dues as needed
  • Liaise with condo management company and reconcile condo fees as needed
  • Reconcile property tax and other adjustments related to final statement of adjustments and preparation of correspondence with customers for adjustments
  • Set up new customers in the Sage system
  • Update spreadsheets for possession list and customer insights
  • Ensure compliance with Government Privacy Act and associated Fintrac administration
  • Develop, maintain, and update conveyancing policies and procedures
  • Review and track commissions related to outside realtors and referrals

What you bring to the team
  • Proficient in Microsoft Office Word and Outlook
  • Advanced Microsoft Excel skills
  • Effective communication skills (both written and verbal)
  • Strong time management and prioritization skills with the ability to prioritize multiple tasks and competing deadlines
  • Ability to think outside the box to provide innovative and sound solutions to workplace challenges
  • Ability to troubleshoot both basic and complex problems by making sound decisions and/or offering solutions that are sensible given the available information, resources, and circumstances
  • Highly detail oriented \xe2\x80\x93 pays close attention to all details/areas in their work, ensuring accuracy of information while identifying and addressing any errors.
  • The ability to promote cooperation and commitment within the team towards the achievement of common goals
  • The ability to build cross departmental relationships inside and outside the organization
  • Able to work independently with minimal to no supervision
  • Displays outgoing commitment to learning and self-improvement
  • Able to deal with confidential information and /or issues using discretion and judgement

Qualifications & Education
  • Post-secondary education
  • A certificate in accounting
  • Some Sage Accounting Experience would be an asset
  • Previous experience in the multi-family construction industry is considered an asset
  • Minimum 1-3 years of experience in accounting
