We're looking for a detail-loving, people-friendly
Accounting Administrator
to keep our financial world running smoothly while being a warm, reliable point of contact for customers, vendors, and our internal team. If your heart beats to the rhythm of AR/AP and your idea of a good time is resolving a rogue invoice, welcome home!
What You'll Do
Think of yourself as the conductor of our behind-the-scenes operations, keeping all the financial instruments in tune.
Accounts Receivable (AR)
Support sales in sending out invoices
Follow up on overdue accounts with charm, clarity, and professionalism
Apply payments (EFT, credit card, cheque) with precision
Reconcile AR aging reports and sleuth out discrepancies like an accounting detective
Accounts Payable (AP)
Enter vendor invoices and expenses with meticulous care
Match invoices to POs and receiving documents
Prepare payment runs and stay on top of vendor terms
Reconcile statements and track vendor credits
Payroll
Collect, verify, and enter weekly employee hours
Process payroll for salaried and hourly staff
Ensure overtime, vacation pay, and deductions are accurate and compliant
Maintain payroll records and support employees with payroll questions
Tax Remittances & Compliance
Ensure instalments are made consistently as required
Assist with GST/PST/EHT/WCB and other government filings
Keep documentation organized for accountants to ensure smooth year-end processes
General Accounting & Administration
Perform bank and credit card reconciliations
Assist with inventory management and cycle counts
Keep digital and paper files in delightfully orderly condition
Answer phones and emails with professionalism
Handle mail, scanning, data entry, and general office duties
Assist CEO with administrative tasks as required
Support workflow and ERP improvements as we scale and evolve
Preparation of clean year-end working papers for external accountants
What You Bring
You're not just good with numbers; you're good with people, processes, and keeping a busy operation humming.
2-5+ years of accounting or accounting admin experience
Experience with ERPs (we use Zoho)
Strong AR/AP and payroll fundamentals
Confident Excel and computer skills
Clear, friendly communication by phone and email
Eagle-eyed attention to detail
Ability to juggle tasks without dropping the fruit
A positive, proactive spirit and a willingness to pitch in
Bonus points for:
Budgeting and forecasting
Job cost analysis or project accounting knowledge
Experience reviewing legal documents, negotiating mortgages and insurance and other cost saving opportunities
HR experience (hiring, managing performance reviews)
Desire to seek out new challenges - ie. grant writing, new investment opportunities
