Responsibilities:
Accounts Payable:

  • Create and send invoices and statements; track payments and follow up on outstanding accounts
  • Validate, enter, and process vendor invoices; prepare vendor payments
  • Respond to client and vendor inquiries and resolve billing discrepancies
  • Maintain accurate and up-to-date client and vendor records in the ERP system
Accounts Receivable:
  • Manage and reconcile sales data from Amazon, Costco and Shopify
  • Monitor customer shipments and ensure timely invoices
  • Prepare reports, including expense reports and basic financial summaries
  • Reconcile bank statements and assist with general bookkeeping duties
Office Administration:
  • Welcome guests and direct them in a friendly and professional manner
  • Answer incoming phone calls, take and relay messages accurately
  • Sell company products and maintain an accurate log of inventory
  • Maintain and update list of suppliers and purchasing information for procurement
  • Order and manage office supplies inventory to ensure a well-stocked workplace
  • Prepare and send letters, faxes, memos, and emails as required
  • Provide backup support for other accounting team members in addition to general office administration as requested
Requirements:
  • Certificate, Associate Degree or Diploma in Accounting
  • Minimum of 2 years of experience in clerical, administrative, or accounting-related roles
  • Previous experience in general accounting, invoicing, accounts payable and accounts receivable
  • Solid understanding of accounting principles and payroll processes
  • Proficiency in MS Office, particularly Excel
  • Strong analytical, organizational, and problem-solving skills
  • Ability to work under pressure and meet tight deadlines
  • Strong attention to detail and accuracy
  • Effective verbal and written communication skills
  • Self-motivated with the ability to work independently and collaboratively
