About the Role



We are seeking a highly organized and experienced Accounting & Administration Manager to join our team. This is a pivotal role in a small office environment, ideal for someone who thrives on variety and responsibility. You will oversee full-cycle accounting, manage administrative operations, and support strategic initiatives.

Position Overview



Reports directly to the President/Owner Group Benefits, Group RRSP Salary 115K - increase in earning potential and growth development based on results Paid Vacation - 3 weeks

Qualifications



Minimum 5 years of experience in full-cycle accounting and office administration Advanced proficiency in QuickBooks and Microsoft Office Strong understanding of Canadian accounting standards and government remittances Experience in HR administration and operational oversight Excellent organizational and communication skills

Skills & Experience



5+ years of construction and/or mechanical insulation industry experience; familiarity with Ontario's construction regulations, including health + safety standards, environmental laws, union + labor laws 5+ years of management/supervisory experience; HR compliance + leadership experience preferred Vision: strategic thinking and innovation Operation excellence: demonstrated ability to plan toward and achieve strategic objectives, assess and improve business systems and technology; fluency with systems and technology; root cause identification and problem-solving Leadership: supporting and contributing to company culture, rallying a team around a vision, identifying opportunities to deepen company competence and expertise; exceptional communication skills

Key Responsibilities



Team Leadership + Supervision

Currently ~13 workers, some in-office, some in the field, combined union and non-union Direct supervision of 2 team members; oversee all aspects of supervision and management, including feedback, evaluation, and professional development
Accounting & Finance

Full-cycle accounting using QuickBooks at an expert level Bank reconciliations, payroll, accounts payable/receivable Government and Union Remittances (HST, WSIB, EHT, Pension, Group RRSP, Benefits) Preparation of corporate tax packages for third-party accountants Oversee the preparation and management of budgets, ensuring efficient allocation of resources
Operations & Administration

Office Management: Oversee day-to-day administrative functions, including procurement, technology, service providers, building maintenance, and insurance renewals Vendor Management: Negotiate contracts, manage relationships, performance oversight, and timely delivery of high-quality services Company Assets: Maintain records and processes for company assets, including equipment, vehicles, inventory, and office supplies Project Coordination: Support project managers with financial data, resource allocation, progress billings, and project close outs Policy Development: Create and enforce company policies and procedures
Human Resources

Oversee + manage end-to-end recruitment process, including job descriptions, job postings, candidate sourcing, interviewing, selection, and employment agreements Oversee the onboarding process to ensure new hires are integrated smoothly into the company Support onboarding and probationary reviews Develop and monitor continuous growth plans for staff Track employee training, certifications, and compliance
Technology

Develop and maintain efficient business processes that align with organizational goals, enhance operational efficiency, and comply with industry regulations and company policies. Leverage technology to automate and optimize processes where possible Oversee implementation of new processes and technology, ensuring smooth integration into existing operations, thorough documentation, and regular updates to reflect ongoing changes Collaborate with stakeholders across the organization to gather feedback and ensure processes meet their needs
