: Accounting & Administration Associate

Position Overview

We are seeking a detail-oriented and proactive Accounting & Administration Associate to join our team. This role is critical to ensuring smooth financial operations, payroll accuracy, and efficient administrative support across the business. The ideal candidate will have strong organizational skills, a keen eye for accuracy, and the ability to manage multiple responsibilities in a fast-paced environment.

Key Responsibilities

- Accounting & Finance

- Record daily financial transactions and maintain accurate ledgers

- Prepare invoices, process payments, and manage accounts receivable/payable

- Assist with monthly financial reporting, reconciliations, and expense tracking

- Support budgeting and forecasting activities

- Payroll

- Process bi-weekly payroll accurately and on time

- Maintain employee payroll records, including hours, deductions, and benefits

- Ensure compliance with employment standards and tax regulations

- Coordinate with management on compensation adjustments, bonuses, and staff progression plans

- Administration

- Manage office documentation, filing systems, and correspondence

- Coordinate staff schedules, meetings, and internal communications

- Maintain compliance records and assist with HR onboarding paperwork

- Provide general administrative support to management and staff

- Operational Support

- Liaise with vendors, customers, and external partners for billing and documentation

- Ensure smooth workflow between departments by handling administrative tasks promptly

- Contribute to process improvements and efficiency initiatives

Qualifications

- Diploma or degree in Accounting, Business Administration, or related field

- 1-3 years of experience in accounting, payroll, or administrative roles (automotive or service industry experience is an asset)

- Proficiency in MS Office (Excel, Word) and accounting/payroll software (QuickBooks, ADP, or equivalent)

- Strong organizational and time-management skills

- Excellent communication skills, both written and verbal

- Ability to work independently and as part of a team

Job Types: Full-time, Permanent

Pay: $17.20-$22.00 per hour

Expected hours: 37.5 - 44 per week

Ability to commute/relocate:

Ajax, ON L1S 3T1: reliably commute or plan to relocate before starting work (preferred)
Experience:

Accounting: 5 years (preferred)
Work Location: In person
