Location: 22 Adelaide Street West, Toronto (hybrid model; this position will operate from home and be required to commute into the office once per quarter and as needed)

Job Summary:
The Accountant, is primarily responsible for financial activities related to the Book Club / Internet Division
operations, ensuring the preparation of timely and accurate financial information.
This includes monitoring all activities relating to Direct Marketing operations, ensuring the availability of
timely, accurate, and comprehensive financial information for management decision-making purposes.

The person must be able to identify issues and then act independently to resolve them and / or act proactively to prevent issues from reoccurring. The issues can be IT / Systems related and / or Accounting
related so they must be able to develop an in-depth knowledge of a complex Sales / Receivable system
and then understand how the Sales System will interact with the Financial Systems.
This job, if not performed accurately and in a timely fashion, will have a direct impact on the reporting of
the Financial Results as it requires adherence to a tight Financial Close schedule

The position\xe2\x80\x99s responsibilities also have a direct impact on the payments being made to the author
community.

Responsibilities

Book Club / Internet Daily and Month End Reconciliations (55%)

  • Responsible for Reviewing and managing the daily and monthly sales files that are received from the
AdvantageCS (ACS) which is the key source for the monthly financial data insuring their accuracy and
timeliness in adherence with the Financial Month End Close schedule
  • To properly meet the expectations of this position the individual must have an in-depth knowledge of
how the ACS system works and processes customer sales data and then how the month end files /
output are created for the Financial Systems. This is key to identifying issues and taking the necessary
steps to correct them to ensure a successful month end with respect to the Book Club/ Internet Division.
  • Responsible for the accuracy of the Book Club / Internet Division financial data as it relates to both
Dollars & Units for Sales & Actual Returns/Bad Debts.
  • This position must have good interpersonal skills as they will be expected to work independently with
HQN IT to solve any issues that they identify
  • This position is responsible for processing the output from ACS and posting it to the financial systems.
  • They must make sure that the detailed data (ISBN detail) is correct and that the appropriate additional
attribute information gets assigned to the data so that further steps involved in the Financial System
process gets completed correctly \xe2\x80\x93 ISBN Level detail as well as financial data required to further process
the information.
  • They will be expected to maintain / perform the reconciliation of ACS financial reports, and the General
Ledger posting in order ensure completeness and accuracy of the numbers that are being reported They
will be expected to identify issues and act independently in developing solutions for any issues that
they have identified
  • Inaccurate data will have a direct impact on the monthly financial information being reported each
month and it may impact decisions being made by Senior management and it may have a direct impact
on the information being used to pay our Authors
  • They will be expected to work independently in preparing and validating the monthly summaries,
analyses, and reconciliations (HarperCollins \xe2\x80\x93 BlackLine Reconciliation Software) related to Accounts
Receivable and Deferred Revenue to ensure accuracy of balances.
  • Reviews appropriate information to adjust discrepancies. Prepares information relating to accounts
receivable, cash receipts, and customer refunds for month-end processing.
  • They will be expected to analyze and prepare required sales-related data adjustments as required.
Bank, Daily Cash and Credit Card Receipts Balancing, and Customer Refund (25%)
  • Responsible for downloading and maintaining various bank statements and credit card payments and
fees reports.
  • Responsible for the preparation of the various bank reconciliations including updating Blackline
Accounts reconciliations, and the identification of any reconciling items \xe2\x80\x93 this requires attention to
detail and accuracy.
  • Responsible for reconciling daily credit card receipts and refunds to ACS payment reports.
  • After identifying any reconciling items, they must independently research the item and then prepare /
record any necessary adjustments as required.
  • Responsible for reconciling HDC daily bank deposits to cash that has been updated in ACS. If they
identify any reconciling items, they must independently investigate any differences and make sure
appropriate corrective action is taken
  • Both (Cash and Credit Card reconciliations) responsibilities are key internal controls that ensure that
the cash collected agrees to what has been deposited in the bank and the ACS system has been correctly
updated. If the cash has not been properly accounted for then it will impact the monthly financial results
  • Responsible for the monthly and annual Customer Refund process.
Process enhancements and system changes (20%)
  • Assists in the review of ACS procedures and reports, identifying and investigating issues, and helps
establish appropriate additional procedures/reports or revise existing procedures/reports.
  • Liaises with Marketing Services and IT to develop test plans, assess results, and evaluate the impact of
various courses of action on both G/L reporting and customer account balances
  • Prepares accounting schedules required to satisfy internal and external audit as required.
Qualifications

Specific training or job experience required includes:
  • Enrollment in a recognized professional accounting program (pre-professional CPA)
  • 2 years related experience, or equivalent knowledge gained from prior experience.
  • Problem-solving, organizational, communication, and interpersonal skills.
  • Computer proficiency, particularly with PC-based database and strong Excel skills is also a
requirement of this position
