SUMMARY

The Access Control Coordinator plays a crucial role in managing and controlling access to client sites by overseeing the approval and distribution of keys, locks, and access for vendor and service provider employees. This position leverages BGIS Keys and Locks tools to maintain an accurate and up-to-date database of vendors and BGIS employees, ensuring the security and safety of client facilities. The Access Control Coordinator collaborates closely with the operations and vendor management teams to facilitate access approvals while reporting under the security organization. This role is instrumental in maintaining a secure environment and controlling access to client sites. Additionally, the role is responsible for conducting regular audits of the access database, reporting results to the client, and implementing action plans to address any identified gaps.

Access Control Coordinator will report to the security organization while actively collaborating with the Operations department to fulfill job responsibilities. This role is vital to maintaining the security and access control of client sites and ensuring the safety of all individuals and assets within those sites.

KEY DUTIES & RESPONSIBILITIES

Safety Ownership and Regulatory Compliance

Comply with all internal and external requirements including but not limited to environmental, health and safety, fire protection and mandated by BGIS Health Safety and Environment Teams and enforced by law.

Access Control Management: Manage the approval and distribution of keys, locks, and access for vendor and service provider employees according to established protocols and security policies.

Database Management: Utilize BGIS Keys and Locks tools to maintain a comprehensive database of vendor and BGIS employee information, including access permissions and history.

Collaboration: Work closely with the operations and vendor management teams to ensure seamless access approvals and access coordination for client sites.

Security Compliance: Ensure compliance with security protocols, regulations, and best practices related to access control and key management.

Key Issue and Retrieval: Facilitate the issuance and return of keys, locks, and access credentials as needed, maintaining accurate records of all transactions.

Vendor Access Authorization: Process and validate access requests from vendor and service provider employees, ensuring appropriate approvals are obtained.

Incident Response: Respond to security incidents or breaches related to keys and access, coordinating with relevant parties to address and resolve any issues.

Documentation: Maintain detailed records of access control activities, permissions, and changes for audit and reporting purposes.

Security Awareness: Provide guidance and training to employees, vendors, and service providers regarding security protocols and access procedures.

Client Site Security: Collaborate with the security organization to ensure that access to client sites is closely monitored and maintained at the highest security standards.

Audit and Reporting: Conduct regular audits of the access database, analyze findings, and report results to the client. Develop and implement action plans to address any identified gaps or non-compliance issues.

KNOWLEDGE & SKILLS

High school completion plus a specialized technical or business course.

1-3 years of job-related experience specific to the assignment - facility management, churn, facility infrastructures, client industry sector, government sector, etc.

Good client management/customer service skills.

Effective Interpersonal skills, with an emphasis on communication (verbal/written).

Strong organisational, coordination and documentation skills with the ability to multi-task.

Ability to work independently.

Proficient with MS Office and email software
